Reporting to the Assistant Director, the Accounting Assistant is responsible for supporting the day-to-day financial administration of the Edwin O. Reischauer Institute of Japanese Studies.
Prepare all payments – employee reimbursements, non-employee reimbursements, PCard and Citi corporate card transactions, vendor invoices – in CONCUR/HCOM and related financial systems, and maintain supporting documents
Assist in PCard weekly reconciliation and maintain supporting documents
Assist staff/faculty in the preparation of Citi Corporate Card/CONCUR/PCard for payment/reimbursement
Assists with existing and new vendor set up by obtaining W-9, foreign national vendor form, and facilitating Glacier
Assists in processing honoraria for guest lectures, fellowship/grants for students including wire transfers, and other forms of payments
Process payments in Aleph, and maintains supporting documents
Respond to faculty/students/vendors with payment inquires and troubleshooting as needed
Adhere to University financial policy and guidelines, employing best practices
Support other Reischauer Institute functions as needed

Bachelor degree or three or more years of administrative/financial experience in a university-setting
Computer skills required, including experience in Excel and/or Access
Familiarity with Japan and Japanese culture
Strong ability to communicate clearly/succinctly in both written and oral form
Excellent time management and organizational skills; attention to detail
Ability to work independently and as part of a team in a fast-paced office environment
Ability to handle complex and confidential information with discretion
