The American Academy of Pediatrics (AAP), the nation’s leading advocacy organization for children’s healthcare, seeks a Meeting Coordinator to assist the Senior Meeting Planner with the AAP Conference Center in the coordination of logistics for in-house meetings and communication with AAP staff, as well as, provide on-site support for the National Conference and Exhibition (NCE).
Responsibilities will include:
Facilitation of hotel contracts, preparation of meeting specifications, food and beverage, audio visual requirements, ground transportation, rooming lists, invoice review, and communication with AAP staff.
Provide on-site support for meetings.
Process and follow-up on service work orders to maintain appropriate physical appearance and equipment functionality of the Conference Center.
Bachelor’s degree in Hospitality management, communications, business or related field, or an equivalent combination of related education and work experience required.
1-2 years general administrative and/or customer service experience required.
Experience with meetings or within hospitality industry strongly preferred.
Must be detail oriented and able to handle a heavy workload, display exemplary customer service skills, manage multiple priorities simultaneously, and collaborate effectively with various internal and external constituents.
Excellent interpersonal, time management, organizational, and verbal/written communication skills essential, as well as knowledge of industry terminology.
Proficiency with MS Office required; experience with Web maintenance software (i.e., SharePoint) preferred.
Some overtime required, as well as the ability to be flexible with work schedule, including working one weekend per month to provide on-site meeting support. Some travel required, including working on-site at the NCE.
