Reporting to the Property/Area Manager, the Property Administrator is the first point of contact for the local property management team and is responsible for supporting the effective and efficient management of a portfolio of University owned market rate apartments. The position plays a critical role in ensuring that the properties are operated in a manner consistent with the physical, financial and service standards of Harvard Housing, Campus Services and Harvard University.
Responsibilities include but are not limited to the following:
Office administration and reception
Communicate to residents, colleagues and vendors through a variety of channels
Receive, process, prioritize & dispatch maintenance/service requests and corrective/preventative work orders through a web-based work order system
Schedule repairs and maintenance with vendors as necessary
Invoice & P-Card preparation & processing through computerized procurement system
Serve as contact person for leasing department regarding leasing issues, termination/extension process and get-ready board
Budget/financial review support
Maintain key/card access inventory
Area inventory/stock/supply management
Attend position/industry related training as required
Manage reservations of common areas where applicable
Performs other job-related duties as required

BS/BA or business training or experience beyond high school required. Real estate or property administration experience preferred. Must have excellent computer skills including experience with databases, spreadsheets, word processing and scheduling/email software packages (ideally, Microsoft Word, Excel, Access, Yardi, and Outlook). Emergency Status Designation: Critical
The ideal candidate will possess excellent verbal and written communication skills, strong interpersonal and organizational skills, the ability to work effectively and independently in a fast-paced environment and attention to detail. Must be able to manage multiple responsibilities, set priorities, take initiative, and meet deadlines. Professional demeanor, appearance and customer service experience essential. Familiarity with PeopleSoft and procurement software such as H-Com is desirable. Must be willing to provide support to other locations as needed.
