Position Summary: performs a full range of duties necessary to support the President/CEO, the Board of Directors, and the Director to the Office of the President. This position collaborates extensively with the organization’s development function and may also perform responsibilities for other senior level positions on an as needed basis. This position interfaces regularly and is responsible for developing and maintaining exceptional relationships with the Board of Directors, donors, Management Team, staff, volunteers and other external contacts.
Serves as a liaison between the CEO and others, especially Board Members, Management Team and external contacts
Serves as an initial contact for individuals contacting the CEO and determines when the CEO or others need to be engaged
May accompany CEO to meetings and events and follows up to ensure that important matters are properly handled
Attends all board meetings and board committee meetings as needed
Collaborates with the development team to facilitate donor relations with the President/CEO and Board of Directors
Manages the board’s donor stewardship program
Drafts written communications for the CEO, including letters, notes meeting minutes and reports
Partners with the Director, Office of the President to coordinate internal agency communications
Edits and produces agency-wide internal newsletter
Assists with the ongoing development, growth, maintenance of the agency’s intranet system
Provides administrative support to the Office of the President to ensure the timely completion of daily, short term and long term administrative responsibilities
Researches pertinent issues and matters and reports back to the CEO and/or the Director, Office of the President in appropriate oral, written and/or spreadsheet formats
Coordinates significant events, like Board and Management Team retreats; partners with the Director, Office of the President to plan annual Staff Development Day
Participates in the review of current organizational systems within the department
Demonstrates flexibility and teamwork; understands the interaction between this position and others with whom the position works directly and indirectly
Completes all responsibilities according to established protocols, policies and standard practices
Bachelor’s degree required
Experience working with donors and/or board members
Experience doing research, writing, and managing special projects
Minimum of two years functioning in a business office environment
Excellent communication skills, including demonstrated skills composing, organizing and presenting information in professional written, oral and spreadsheet formats
Excellent skills gathering, managing, and interpreting data
Superb skills in relationship-building, both with individuals and teams/group
Ability to handle discreet, confidential information
