<p>Position Title: Principal Office & Administrative Specialist, Job Code 1826</p><p>Report to: Extension Regional Director</p><p>Appointment: 75%-time, Noble County funded<br /> University of Minnesota Civil Services/Bargaining Unit, AFSCME represented</p><p>Location: Noble County Extension Office, Worthington, MN</p><p>Initial Application Deadline: November 17, 2017; pen until filled</p><p><br />PURPOSE OF POSITION:<br />The purpose of this position is to provide clerical, accounting and administrative support to Nobles County Extension. Duties include, but are not limited to: serving as receptionist for University of Minnesota Extension in Nobles County, entering detailed financial data; maintaining detailed technical records of the office; entering data into computer; preparing reports; answering the telephone; typing correspondence; and performing additional tasks as assigned by the staff. In absence of other supervisory personnel, oversees the technical areas of the department.</p><p>ESSENTIAL DUTIES AND RESPONSIBILITIES<br />1. Performs general administrative duties. (30%)<br />*Serve as point of contact for the Nobles County Extension office to include: answering the telephone, greeting customers and directing calls or visitors to the appropriate parties, taking messages and responding to requests, as well as typing letters, agendas, minutes, and correspondence.<br />*Oversee office operations and procedures by ensuring that adequate office supplies and equipment are available and work with 4-H Program Coordinator, Regional Director, and other staff on office administration related activities.<br />*Create flyers, brochures, informational letters, and registration forms for all Nobles County Extension programs.<br />*Assist with typing and sending news releases and other program-related correspondence to the media and target audiences.<br />*Coordinate the County Extension publications inventory.<br />*Monitor, research, and make recommendations for purchases by the Extension Office.<br />*Coordinate the Nobles County Extension web page, keeping all information accurate and current.<br />*Help consumers access Extension publications and information; especially related to horticulture, agriculture and family and consumer science. <br />*Ensure Extension is adhering to county policies. </p><p>2. Serve as point of contact for Nobles County 4-H Youth Development Program. (50%)<br />*Process and manage many aspects of relevant 4-H databases.<br />*Coordinate livestock ID form collection and dating.<br />*Assist in preparations for, and organization of, the Nobles County Fair.<br />*Arrange meeting locations and handle registration for county programs – collects registrations.<br />*Support 4-H enrollment by answering questions and following up on missing information.<br />*Organize, order and track all 4-H awards for County Fair and Recognition Banquet.<br />*Work with county and regional staff on implementation and reporting of the 4-H program.<br />*Organize, develop promotional materials for, and adequately prepare for 4-H programs.<br />*Assist individual 4-H clubs as needed, especially regarding 4-H Stewardship compliance.<br />*Perform accounting activities related to 4-H Federation funds: invoicing, receipting, and pulling reports.<br />*Assist with preparation of teaching materials for Afterschool programs and other events.<br />*Provide new 4-H family support in navigating systems, programs, and opportunities. </p><p>3. Support SNAP-Ed and Financial Literacy Program (10%)<br />*Arrange meeting locations and registration for programs.<br />*Assist with preparation of teaching materials and resources.<br />*Assist with promotional materials.</p><p>4 Perform other duties as assigned. (10%)</p>
<p>EMPLOYMENT STANDARDS:</p><p>Education and Experience:</p><p>Required Qualifications:<br />*HS graduate/GED plus two (2) years progressively more responsible office and administrative experience. Post high school education/training may be substituted for some of the years of experience.<br />*Experience with personal computer systems including trouble shooting.<br />*Experience with MS Office Suite: Microsoft Word, Excel and PowerPoint.<br />*Experience with basic accounting and an understanding of financial principles, policies and procedures.<br />*Experience with database entry and functions.<br />*Experience in providing customer service for face-to-face and telephone communications.<br />*Experience formatting, drafting, or writing routine to complex correspondence and meeting materials.<br /> <br />Preferred Qualifications:<br />*Associate’s or Bachelor’s Degree in applicable field. <br />*Excellent written and oral communication skills.<br />*Experience supporting more than one professional at a time.<br />*Team player with excellent interpersonal skills, enjoys helping people.<br />*Ability to work with diverse population.<br />*Understanding of basic network concepts and functionality within the MS Windows operating system.<br />*Use of Quickbooks program for accounting use.<br />*Understanding and use of Google Suite: Gmail, Hangouts, Forms, Docs and Calendar.<br />*Excellent organization and prioritization of multiple tasks and filing systems skills.<br />*Excellent troubleshooting and problem solving skills.<br />*Ability to make decisions in a timely manner.<br />*Ability to access and integrate information from a variety of sources.<br />*Professional demeanor for representing the University.</p><p>Knowledge, Abilities and Skills:</p><p>*Working knowledge of electronic mail and Microsoft Office word processing and spreadsheet programs.<br />*Knowledge of clerical skills and office procedures.<br />*Ability to understand written and oral directions and instructions.<br />*Ability to perform manual tasks requiring coordination, dexterity, and strength adequate to lift and move objects of bulk and weight up to 30 pounds.<br />*Ability to work effectively with all types of people.<br />*Ability to organize work tasks and work independently in performing routine tasks.<br />*Working ability to perform tasks involving prolonged sitting, standing, bending, twisting.<br />*Ability and knowledge to operate typewriters, computers, printers, calculators, telephones, copiers, fax, and other general office equipment.</p><p>This description is intended to describe the kinds of tasks and levels of work difficulty being performed by people assigned to this classification.
