Posting Summary: University Annual Giving seeks an internally-motivated administrative coordinator to support our fast-paced team as we embark upon our most ambitious campaign to date. The full-time position will provide project management and administrative support to University Annual Giving (UAG).
The Administrative Coordinator, University Annual Giving conducts project management, procurement management, and financial coordination, and provides administrative support for University Annual Giving.
The position's responsibilities include: - Managing the Advancement Community marketing calendar project, serving as the UAG procurement liaison and subject matter expert on procurement processes, procedures, and guidelines, managing the appeal code strategy for UAG. - Coordinating calendars for the director, UAG projects, and reporting - UAG server governance - Providing administrative support to the Director for University Annual Giving, including scheduling, budget support, and travel arrangements. - Providing customer service to donors and members of the Advancement community
The ideal candidate will have considerable project management and administrative experience, and be motivated to find best-in-practice solutions for UAG projects and efforts. Additionally, this candidate will possess comprehensive knowledge of office procedures and policies; project management knowledge; the ability to communicate effectively to internal and external stakeholders; the ability to prioritize complex projects and requests as necessary; the ability to coordinate meetings and other office functions; and interface with a team that produces over 50 unique projects each year.
Candidates with experience in higher education, database management, vendor management, procurement processes, Oracle, Advance Web, project management software, or e-mail communications software preferred.

Required Minimum Level of Experience: Some - up to 4 years
Required Specific Experience: A minimum of at least one year of related experience.
Preferred Minimum Level of Experience: Considerable - 4 to 7 years
Preferred Specific Experience: Project management and administrative experience. Direct marketing experience.
Required Knowledge, Skills and Abilities: Demonstrate excellent organizational skills, with high attention to detail. Working knowledge of project management, fundraising, and vendor relations.
Proficiency with Microsoft Office applications; ability to enter, retrieve and research data in donor database.
Demonstrate excellent oral and written communication; strong customer service and follow-through skills.
Ability to handle confidential information in a discreet, professional manner.
Proven ability to manage projects independently, from inception through implementation.
Ability to work independently and as part of a team. Work with senior staff to effectively accomplish objectives.
Ability to provide administrative staff services on a rotational and/or emergency basis for administrative staff colleagues in the unit, including reception, telephones and visitor hospitality.
Strong understanding of scheduling and meeting planning.
Preferred Knowledge, Skills and Abilities: Knowledge of accounting principles and procedures.
Required Computer Applications: Intermediate proficiency in internet applications, Microsoft Office applications (Word, Excel, Access, PowerPoint)
Preferred Computer Applications: Advance, Integrated System (Oracle) and prefer advanced level proficiency in Word, Excel, Access and Power Point.
