Rutgers, The State University of New Jersey, is seeking a Secretary I for the Eileen White Lab at the Cancer Institute of New Jersey. The primary purpose of the Secretary I is to provide high-level, comprehensive secretarial services to the Deputy Director, and assist with the administrative activities for the Deputy Director and laboratory staff.
Among the key duties of this position are the following:
Manages scheduling of appointments, travel arrangements, reimbursements, and travel expense reports. Creates detailed and comprehensive travel itineraries for every scheduled trip for Deputy Director. Keeps comprehensive and detailed files on travel arrangements, expenses/reimbursements.
Coordinates office operations, including: forms, secretarial/clerical work, space and office equipment, internal reporting systems and ordering supplies and materials. Suggests methods for office improvement.
Oversees the maintenance of records and ensures that files and recordkeeping systems meet the needs of the office. Responsible for the overall maintenance of the department confidential files and serves as the department authorized user of record for archiving. Ensures the protection of confidential information and records.
Ensures that expenditures are in accordance with allocation of funds; responsible for purchase orders, check requests.
Manages payroll operations as timekeeper for all lab staff using PeopleSoft.
Provides administrative support, as needed, during the preparation of grant submissions, renewals, and progress/final reports.
Minimum Education and Experience:
Graduation from an accredited program in secretarial studies, plus four (4) years of full-time secretarial experience.
An additional year of experience is required in lieu of the secretarial program.
College credits may be substituted on a year-for-year basis for secretarial experience.
Up to sixty (60) credits may be substituted for two (2) years of secretarial experience.
Required Knowledge, Skills, and Abilities:
Must be computer-literate with proficiency and working knowledge of database and reporting tools such Microsoft Outlook, EndNote, Word, Excel, Access, PowerPoint.
Must be dependable, flexible, and people-oriented.
Must be willing to work additional hours to meet deadlines, as needed.
Must have excellent oral and written communication skills and a highly professional demeanor in person and on the telephone.
