<p>This clerical support position is key to the daily administrative operations of the MN Cancer Clinical Trials Network (MNCCTN), a new multi-site cancer clinical trials network funded by the Minnesota legislature as a part of the University of Minnesota's overall MnDRIVE Strategic Investment Request.<br /><br />The network, led by the Masonic Cancer Center, University of Minnesota, will bring cancer prevention and treatment trials from the Masonic Cancer Center, Hormel Institute, and the Mayo Clinic Cancer Center to medical centers and local healthcare providers across the state, strengthening the work of the Metro-Minnesota Community Oncology Research Consortium (MMCORC) and the Essentia Health NCI Community Oncology Research Program (Essentia Health NCORP), who provide access to clinical trials in the communities of Duluth and the Twin Cities Metro.<br /><br />Responsibilities include:<br /><br />55% Support MNCCTN Senior Manager and Medical Director</p><ul><li>Schedule complex group meetings with attendees from multiple organizations using WebEx and phone conferencing (e.g. Steering Committee) ensuring that attendees have necessary information and resources prior to the meeting, meeting space is prepared, and technology needs are met</li><li>Manage day-to-day calendars of Sr. Manager and Medical Director</li><li>Prepare agendas and meeting materials as requested; attend selected meetings, record and disseminate minutes as requested</li><li>Respond to inquiries and calls when needed</li><li>Coordinate travel, registration and lodging</li><li>Use EFS financial system to do the following: create POs, purchase supplies, process expense reimbursements, and reconcile PCard purchases</li><li>Coordinate administrative guest visits</li></ul><p><br />25% Clerical Support</p><ul><li>Assist with formatting documents and presentations</li><li>Manage master documents and update when necessary</li></ul><p><br />15% Coordinate Visits and Events</p><ul><li>Coordinate lodging and other travel arrangements for MNCCTN guests and visitors</li><li>Assist with event preparation including; ordering food and refreshments, securing venues, creating printed and electronic materials, etc.</li></ul><p><br />5% Other Duties as Assigned<br /><br />*This position is represented by a bargaining unit, AFSCME Clerical. <p><strong>All required qualifications must be documented on application materials.</strong><br /><br />Required Qualifications</p><ul><li>High school diploma/GED and two years of related office and administrative experience - training/education may be substituted for some of the years of experience</li><li>Demonstrated experience and proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint, as well as Google applications (calendar, email, drive).</li><li>Demonstrated/documented experience managing calendars for multiple individuals and arranging meetings (e.g., ad hoc, daily and recurring weekly/monthly meetings).</li><li>Willingness to be flexible, adapt quickly and easily in a fast-changing environment</li><li>Experience prioritizing and multi-tasking</li></ul><p><br />Preferred Qualifications</p><ul><li>Demonstrated ability to handle multiple tasks and work independently, using initiative to overcome obstacles and complete tasks accurately and on deadline</li><li>Experience planning and executing events</li><li>Demonstrated/documented ability to work with and adapt to new technologies and processes without significant direction.</li><li>Experience using online meeting, web conferencing and video conferencing applications such as WebEx.</li><li>Documented experience proofing business documents and communications such as presentations, letters of recommendation.</li><li>Experience working with one or more professionals who are in a leadership positions (e.g. directors, associate directors, senior managers)</li><li>Experience in an academic, clinical and/or research environment.</li><li>Demonstrated strong interpersonal and communication skills, both oral and written</li><li>Excellent organizational, project and time management, problem-solving and client service skills</li></ul><p> </p>
