The Department of Biological Structure currently has an outstanding opportunity for a HUMAN RESOURCES COORDINATOR.
Perform complex human resources and administrative functions to support the Departments of Pharmacology and Biological Structure in the arena of Workday and VISA. The successful candidate under general direction of the Department Directors perform department related payroll and HR duties in conjunction with the School of Medicine Academic Business Center (ABC).
Duties will include and are not limited the following:
Act as the first point of contact for employees regarding leave policy, payroll, and timesheet questions. Prepare offer letters for new employees. Respond to payroll inquiries from students, faculty and staff or refer to appropriate department and/or person.
Serve first point of contact for department payroll, hiring, appointment change with ABC team. Communicate with Director re any current appointment/position changes, submit ABC Intake Form.
Remind employees submit time sheet promptly.
Perform ongoing payroll processes in Workday.
Be current on available Workday reports that can help the departments in tracking payroll and HR issues or data.
Assist new employees on the use of Workday and the use of Dual Authentication.
Assist the Department Director in managing FMLA and disability requests for staff.
Serve as department's Human Resources contact for faculty for processing of the UW Hiring processes. This might include gathering requirements for position, ensure PI has funding for position, submit request via ABC Intake Form, track progress in UWHires, forward resumes from UW Hires to PI/supervisor to review applicants.
Communicate/advise faculty and Director(s) throughout requisition, selection and hiring process, including using UW Hires tool.
Orient/assist new employees (staff) with UW orientation/on-boarding.
Participate in Workday training for all pertinent security roles. Serve as I-9 Coordinator for the two departments. Collect and process hiring documentation. Guide new employees to resources for completing W-4's, direct deposit requests, etc.
Serve as Workday Time and Absence Initiate and as requested by member departments on behalf of workers, enter time, correct time off, request time off, request leave of absence, request return from leave of absence, assign work schedule, and perform other duties as appropriate. Run reports showing outstanding time records as needed before payroll cut-off.
Determine correct Visa types for visiting trainees, students, and faculty.
Facilitate visa request flow between visitor, Dean Office ABC Visa Team and UW VISA/ISO offices. Ensure that trainees hold the correct insurance that complies with VISA requirements.
Work with ABC Visa Team to prepare document and process of foreign nationals. Create and maintain payroll documentation requirements for foreign nationals on all visa applications. Maintain departmental records and remind employee of visa renewal.
Collaborate with ABC and Integrated Services Center staff as necessary to address department needs and questions.
Collaborate with Integrated Services Center staff in addressing ongoing needs and challenges on behalf of department.
Pick-up and distribution of emergency check at Payroll Office if needed.
Prepare/process OSETs (Online Salary Expense Transfer) if needed.
Download, distribute GCCR (Grant & Contract Certification Report) to faculty. Update report to meet Federal. requirement. Record/help and follow up with faculty for certifying the report.
Annual AAMC faculty salary survey faculty survey.
Annual NSF/NIH (National Science Foundation/National Institutes of Health) survey - post doc and grad student survey.
Maintain personnel files.
Perform general administrative/related duties as assigned.
Perform Costing Allocation as needed by the department(s).
High School Graduation or equivalent and three years of office experience including at least six months of experience in a human resources or related setting OR equivalent education/experience.
Desired Qualifications :
Ability to carry out tasks both independently and as a member of a team.
Ability to work under a busy and high pressured environment and changing priorities. Ability to multi-task, have good problem-solving skills. Proficiency in MS Outlook, Word, Excel.
