Responsible for assisting the Architecture & Design Society’s Board of Directors with the planning, coordination, and realization of its program of activities and events. Also responsible for all record keeping related to membership in the Society. Coordinates activities of the board, including membership, event planning, fundraising activities, public relations, and budgeting.
PRIMARY DUTIES AND RESPONSIBILITIES:
Accounting/Budget: coordinates processing of forms for AIC accounting office; reviews monthly printout from accounting A&D activities (review charges, deposits); works with Board president to create budget for each event and summarizes expenses and income for each event; works with Treasurer; administers billings to board members for lunch and annual contribution; coordinates membership dues mailing.
Fundraising: works with Board members on corporate sponsors; coordinate alliances with architecture schools, organizations to share in programming expenses.
Event Planning: develop schedule, outline responsibilities-create model that is typical; coordinate speakers’accomodations, schedule, fee; coordinate with graphic designer on invitation, if required; write mailer and post; take reservations, set up check-in table with volunteers; work on future programming, including letters of invitations, etc.; coordinate annual fundraising event.
Board Coordinator: arranges bi-monthly board meetings, coordinate schedule with President, AIC internal details regarding location, lunch; call every board member prior to every meeting for attendance confirmation; attend committee meetings.
Public Relations: contacts media regarding events, lectures; AIC
Membership: sends out renewal forms when required; tracks current status of members; coordinates with Board and/or volunteers to solicit new members at registration table.
Performs other duties as required.
Strong organizational, accounting, writing, and public relations skills.
Ability to multi-task.
Must have working knowledge of Excel; experience coordinating budgets preferred.
Experience with fundraising and event planning and volunteer coordination preferred.
