The incumbent will provide administrative and staff support for the COTS Dean's office by managing office workflow, maintaining filing systems, calendars, and schedules. The Administrative Assistant works closely with the Administrative Specialist to ensure that prompt and accurate information is relayed to the Dean, Associate Deans and all staff in the COTS office.
Operations Support: - Assist and provide support to the dean's Administrative Specialist, Program Manager and Director of Development with individual requests, in addition to day to day office operations & duties. Successfully manages this workflow to ensure timely completion. - Responsible card holder for the COTS Pro-Card and Corporate Travel Card to purchase goods and services and process travel in accordance with purchasing guidelines, and reconcile monthly statement to ensure accuracy. - Prepare and route purchase requisitions, travel and petty cash reimbursements. - Assist COTS Personnel Committee with their promotion, tenure, reappointment and post-tenure review process by coordinating committee meetings, proofing documents and securing appropriate signatures for those documents. - Edit for duplication, the COTS honor roll list, and accurately download, print and mail letters to student recipients. Post the list of recipients to the COTS website. - With delegated authority, review and respond to issues of routine and complex inquiries, and if unresolvable, refers these to the appropriate administrator as necessary. - Maintain office bulletin board. - Order, receive, and maintain inventory of all office supplies and equipment. Process surplus inventory for removal or transfer. - COTS office Records Coordinator, responsible for the physical inventory of office records by identifying, destroying or transferring records when the retention period has been met, while keeping in compliance with the CWU Records Management Program. - Maintain COTS website, including monitoring for accuracy of content, addition of content and aesthetics. - Maintain operation of COTS office copy machine, including ordering copier supplies.
Staff Support: - Act as the primary point of contact in the College of the Sciences office, professionally representing the Dean's office to students, parents, faculty, staff and external constituents, via phone, e-mail and in person. - Provide confidential administrative support within, and as part of the COTS team. - Work with the Associate Deans in drafting reports, letters and documents that require substantial knowledge of interdisciplinary programs and the college scholarship award process. - Coordinate, schedule and execute travel for COTS dean/associate dean's attendance at meetings and conferences, in addition to working with the Grant Accounting Office to coordinate and execute student travel within grant award guidelines. - Sort and distribute all incoming mail to the Deans office. - Use multiple phone lines; take messages, transfer incoming calls - Assist the associate dean with coordination and implementation of Interdisciplinary Program meetings. - Coordinate with and compile information for the COTS HR Partner to assist with the visa application process for faculty/staff in the College of the Sciences. - Arrange and schedule meetings and/or candidate interview times and places, confirm participants. Schedule travel and hotel accommodations for faculty/staff searches and process travel authorizations, travel vouchers, collect receipts for reimbursement of interview costs to candidate. - Maintain the Dean and Associate Dean's Outlook calendars. Scheduling appointments and meetings with detailed accuracy. - Maintain college contact information lists. - Compile data for special projects as assigned.

Experience or training that demonstrates the ability to use Excel, Word, e-mail and/or similar software applications to produce written correspondence, create and maintain spreadsheets, and receive and respond to e-mail inquiries
Experience effectively organizing multiple work assignments, involving competing priorities to produce work products that are accurate, of a high quality and meet deadlines.
Or applicable combination of education and/or experience which clearly demonstrates the ability to perform the essential functions of the job.
Evidence of effective written communication.
AA or significant business/accounting experience.

Pay, Benefits, & Work Schedule
Salary: $2535/month with periodic increases up to $3276/month
Working Conditions: Work is performed in an indoor office setting with frequent in-person interactions. It is essential to be able to remain at a desk/computer work station for prolonged periods of time, perform extensive data entry and other computer-related tasks and create/maintain filing systems for departmental records.
