Provides para-professional administrative and staff assistance to the Dean by reviewing, controlling, prioritizing and coordinating the work of the Dean's professional staff; or performs technical work which is directly delegated from a professional position. This position's primary responsibility is to provide administrative support to the College of Arts and Humanities. The majority of work includes duties such as complex clerical assignments, complex scheduling, establishing and maintaining records, and responding to inquiries for the office on policies and procedures. This position also includes planning, coordinating, and organizing college events, public relations and the monitoring and posting of information on social media for the College.
Assistant to the Dean and Associate Dean: - Resolves problems and responds to inquiries regarding rules, regulations, policies, department procedures, and department services; answers telephone; receives and refers visitors. - Controlling the professional staff's work by directing changes, corrections and authorizing exceptions to ensure compliance with the supervisor's schedules and priorities. - Maintains a broad, comprehensive, and current knowledge of university policies and procedures related to responsibilities and the College of Art & Humanities. - Assists in assessing office operation practices and assists in creating or revising procedures to accommodate changing practices and makes efficient use of resources. - Supports Administrative Specialist with the completion of assigned projects. - Represents the Dean's and/or CAH's goals and interests and provides interpretation or explanation of the college's policies and/or viewpoints. - Reviews documents, records, or applications for completeness, accuracy, and compliance with rules; determines and explains action necessary to achieve compliance or approval. - Composes office correspondence such as requests for documentation and responses to requests for information; devises, evaluates and revises forms for internal use. - Establishes and maintains complex electronic or manual file systems or data base files. - Compiles and produces material such as financial statements, manuscripts, schedules, test materials, and technical and statistical reports requiring specialized knowledge and judgment in selection and treatment of data and format; prepares, tables, charts and graphs as required. - Performs complex word processing tasks such as merging and sorting, integrating text with graphics, spreadsheet, and data base files, uploading/downloading, and creating footnotes and outlines; uses spreadsheet and data base software to develop and maintain records; uses basic statistical software packages; uses graphics software and recommends appropriate display of information. - Keeps supervisor informed of significant and important items requiring his/her review or action; obtains information from staff members, relays assignments, calls attention to deadlines, and obtains progress reports; maintains frequent contacts for supervisor with public and private executives. - Reads and distributes incoming mail; retains more important correspondence for own or supervisor's attention and routes balance to appropriate employees; reads outgoing mail prepared by others for form, content, and agreement with policies. - Orders, receives and maintains inventory. - Maintains office website and monitors department social media outlets. - Attend meetings as assigned serving as information and policy resource person to dean, faculty, chairs, program director or staff.
Event Coordination: - Serves as the primary contact and provides support for CAH events such as panels, award receptions, lecturers, seminars, workshops, and college wide meetings. - Plans, organizes, and coordinates the Celebrating the Arts and Humanities Series (quarterly lecture series), Alumni Day, Year End Celebration, all college meetings, Advisory board meetings and retreats, college/university wide collaborations related to CAH (ex. Mass Incarceration), CAH event brochure/postcards, lecture series mailers, alumni newsletter, etc. - Obtains information from CAH departments and coordinate college's quarterly brochure/mailer, working with CWU publicity/marketing areas on layout, format, and printing as well as the distribution of brochure/mailer both on and off campus; Ensure timelines are adhered to, and deadlines are met. - Maintains website and social media sites, and develop flyers to advertise/promote CAH events, and advise the Dean, Department Chairs and faculty about marketing of events. - Maintains, updates and posts information on CAH alumni social media outlets. - Communicates with university departments, divisions, and areas to advertise, promote, and recognize CAH events. - Maintains equipment control processes to account for items/equipment purchased and used for CAH events.
Fiscal Support: - Reviews and verifies fiscal reports for accuracy; investigates and corrects errors to ensure compliance with established procedures and policies; uses basic arithmetic to perform computations. - Reviews and verifies fiscal reports for accuracy. - Investigates and corrects errors to ensure compliance with established procedures and policies.

Increasingly responsible clerical/office experience OR an equivalent combination of experience, training and/or education which clearly demonstrates the ability to perform the essential functions of the job.
Experience or training that demonstrates the ability to use Word, Excel, e-mail and/or similar software applications to produce written correspondence, create and maintain spreadsheets, receive and respond to e-mail inquiries, tasks, etc.

Ability to effectively organize multiple work assignments, involve competing priorities to produce work products that are accurate, of a high quality and meet deadlines.

General fiscal experience, training and/or education that demonstrates the ability to monitor and reconcile budgets, budgeting, travel, compile and interpret fiscal data and provide related reports.
Event coordination experience; or four years of progressively responsible work experience involving public contact such as secretarial, or setting up conferences; or, an equivalent combination of experience, training and/or education.
Experience with social media, webpage design and maintenance.
Experience with marketing and/or promotion of events.

Pay, Benefits, & Work Schedule
Salary: $2,778 /month with periodic increases up to $3,612 /month
Working Conditions: Work is performed in an indoor office setting with frequent in-person interactions. It is essential to be able to remain at a desk/computer work station for prolonged periods of time, perform extensive data entry and other computer-related tasks and create/maintain filing systems for departmental records. Some evening or weekend work and/or occasional travel may be required.The nature and timing of events may require work during periods of both daylight and darkness and may include exposure to seasonal weather conditions such as but not limited to heat, cold, rain, snow and ice.
