The Summer Housing and Transitions Assistant provides support to the Assistant Director for Summer Housing and Operations in the coordination and management of the summer housing and conference programs, including the opening and closing of residence halls, and summer key/card access management responsibilities. In addition, the Housing and Transitions Assistant provides network administration backup and administrative assistance as needed.
The Summer Housing and Transitions Assistant is responsible for the preparation and distribution of all contracts, letters, forms, and applications related to summer housing; coordination of the recruitment of all summer staff with the Assistant Director of Summer Housing and Operations; coordination of the opening and closing of residence halls; distribution and management of key/ and cards for room access; and the compilation of reports and statistics.
Assist with all activities related to summer housing, and summer conferences and camps
Coordinate the recruitment of all summer staff positions with the Assistant Director of Summer Housing and Operations
Manage Protection of Minors, CORI and SORI forms necessary for summer houring programs
Maintain a working relationship with all conference and summer housing departmental contacts and provide confirmation information and updates as necessary
Coordinate the opening and closing of residence halls for fall, spring, and summer semesters, including the management of all early arrivals and extension correspondence and data
Independently manage all communication to professional and support staff about opening and closing procedures
Assist with all major departmental programs including the check-in and check-out process and the annual residence hall room selection process
Establish and maintain all summer student, camp, and conference data
Learn and gain an excellent working knowledge on the use of StarRez (housing system) for assignments of students, groups, and camps to summer housing
Provide departmental secretarial support which includes answering telephones and taking messages.
Responsible for compiling reports and statistics as required.
This position entails some evening and weekend overtime, including participation in the on-call staff team during the summer (May to August)
