Serves as the administrative coordinator for the Senior Associate Vice President for Development and supports the Office of Trusts, Gift & Estate Planning, a fast-paced, high-touch area of fundraising. Provides complex administrative coordination, donor cultivation and solicitation assistance, data and prospect management, and stewardship and marketing assistance. Maintains a broad knowledge of University and Foundation policies, procedures, rules and regulations as well as a working knowledge of estate planning and planned giving instruments. Communicates both orally and in writing with donors and advisors using diplomacy and confidentiality. Performs other duties as assigned.
35% - Essential - Trusts, Gift & Estate Planning Support: Assists in structuring confidential proposals for solicitation of planned & major gifts. Provides access to sample legal documents, trust agreements & suggested language for wills. Prepares charitable gift annuity contracts & donor gift agreements. Serves as a resource on matters of trusts, gifts & estate planning. Maintains accurate recording of all actions & gift proposals in Raiser's Edge. Receives and processes notices of all matured bequests & trusts. Prepares documents, processes all acknowledgments for major and deferred gifts. Works with donors & development officers to secure documentation for future gift commitments. Directs special Gift & Estate Planning projects.
35% - Essential - Donor Stewardship and Endowment Management: Prepares complex endowment and gift status reports for administrators and donors. Prepares high volume of confidential and personalized correspondence (1,000+ letters/packets annually) on behalf of the Senior Associate Vice President for Development to donors and advisors. Researches & assimilates information for stewardship. Assists in coordinating events and donor visits. Manages the Memorandum of Understanding process for all planned gifts for the department.
15% - Essential - Financial & Administrative Support: Coordinates a variety of complex administrative support activities. Performs scheduling and travel assistance. Answers telephone, orders supplies, compiles receipts, invoices, travel vouchers and other documentation to prepare payment authorization for processing by the Fiscal Analyst for multiple development officers. Serves as a liaison to provide budgeting information as well as advises on fiscal policy and procedures to Development Officers. Runs PeopleSoft queries to access endowment balances. Runs ad hoc PeopleSoft queries to provide quick information on endowment budgets.
10% - Essential - Marketing Initiatives: Coordinates marketing and publications for the Gift Planning Office. Assists with preparation of Donor Profiles. Coordinates donor profiles and constituent mailings. Obtains donor profiles for Clemson and Fort Hill Legacy Societies and gathers research for staff writers. Maintains supply of applicable printable marketing tools for development officers' use.
5% - Essential - Life Insurance Premium Coordination: Coordinates life insurance premium accounts receivable and payable. Contacts life insurance companies and donors regarding all life insurance policies owned by CU and CUF. Obtains reports and statements. Asks policy questions for review by Senior Associate Vice President.
A high school diploma and relevant experience in business management, public administration, or administrative services or a bachelor's degree may be substituted for the required work experience.
