The KeyBank Professional Development Center has an outstanding opportunity for a Conference Services Manager (CSM).
Reporting to the PDC Director, the Conference Services Manager (CSM) promotes UW Tacoma as a venue for external conferences, meetings, and special events, helping to plan and coordinate functions with groups who reserve campus spaces. The CSM also monitors the financial performance of Conference Services.
DUTIES & RESPONSBILTIES
1. Manages daily operations in External Conference Services. 2. Evaluates marketing and outside sales opportunities to promote UW Tacoma as an attractive venue, using multiple strategies to achieve broad awareness among potential customers. 3. Develops bid proposals for conferences, to include budget, timelines and onsite management and facilities costs. Tracks internal Conference Services budgets, adhering to University policy and procedures regarding expenditures and reporting. 4. Designs, implements and evaluates procedures, forms, and contracts related to support efficient conference operations in keeping with University policy. 5. Develops revenue targets and monitors Conference Services financial performance. 6. Meets with event planners to review event details, food orders, event agenda, decoration details, AV/Computer/Sound equipment rentals and support services, additional staffing requirements (including, but not limited to Security, janitorial) and additional details as per University policies and procedures. 7. Advises clients of and enforces the following: facility capacities, required permits, University policies and procedures, alcohol use and permits and the fire codes. 8. Designs, implements and evaluates organization and staffing needed to effectively accomplish the goals and objectives of conferences, contracting with external vendors, as needed, to accommodate specific group needs. Recruits, hires, trains and supervises full- and part-time staff and temporary and student employees. 9. Works with groups to prepare and coordinate detailed plans for conferences and meetings onsite, ensuring that operations are cost effective and in accordance with goals and objectives. Maintains a professional relationship with attendees and resolve or manage the resolution of problems and issues as they arise. 10. Assess preparedness for events and addresses issues as they arise. 11. Coordinates with internal events manager, UUF coordinators, and registrar's office for use of available space. Is an active member of the University Use of Facilities (UUF) committee. 12. Evaluates and updates conference services website and payment processes.
Bachelor's degree in business, marketing, hospitality or related field, or equivalent education/experience.
Minimum of three years of event planning/coordination experience to include budget administration, and extensive knowledge and understanding of event planning and set up.
Experience developing policies and procedures that support efficient conference and meeting management.
Excellent oral and written communication skills and effective listening skills.
Superior customer service skills.
Highly motivated self-starter who can work cooperatively with people at all levels, both within the University and externally, showing initiative, anticipating needs and taking action.
Strong attention to detail and organizational skills with the ability to multi-task with little or no supervision.
Ability to define problems quickly and resolve them.
Ability to work well with quickly changing priorities and/or situations.
Proficient in MS office suite, including Work and Excel, and the ability to use and/or learn to use technology/equipment related to events or event planning. Ability to edit web pages using Drupal web editing software. Ability to use electronic procurement and payroll software.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
Master's degree in business, marketing or related field.
Four or more years of event planning/coordination experience.
Previous supervisory experience.
Ability to negotiate and manage contractual agreements.
CONDITIONS OF EMPLOYMENT:
Ability to lift/move conference tables, chairs, equipment, etc.
Ability to work days, evenings and weekends during events.
