Reports to and provides administrative office support to the Executive and Assistant Directors, and handles sensitive and confidential information. Responsible for coordination of all travel plans for conference attendance. Responsible for the timely processing of all budget related transactions. Assists in the planning of meetings, and supports the recruitment process for faculty searches across the institution.
Detailed Job Description
Perform budget related functions such as processing invoice payment forms, monthly credit card statement reconciliations and routine updating of transaction reports, travel expense reports and perform office supply ordering/resupply.
Manages, schedules and coordinates meetings, recruiting trips and conferences for Executive Director.
Provides interface with internal and external customers.
Provide office support for meetings and events including the annual weekend-long Future Faculty Career Exploration Program
Assists in the updating and maintaining of databases for faculty recruitment
Assists faculty search committees in the referral process.
Required Minimum Qualifications
•High School diploma or GED (General Education Degree), Associates preferred •Three to five years administrative support experience.
Required Skills: •Demonstrated success with event planning. •Evidence of commitment to, and experience relating to, diversity and inclusion with special emphasis on underrepresented minorities and women. •Excellent written and verbal communication skills. •Customer service skills (interpersonal, problem solving, and process improvement). •Budget and logistics operations knowledge and experience. •Ability to work independently managing and prioritizing multiple demands. •Detail oriented. •Creative, innovative, and critical thinking approach to tasks. •Familiarity with using Microsoft Office applications (Word, Excel, Outlook, PowerPoint) and Internet applications.
Required Minimum Education Level
Associates Degree Working knowledge of online applicant tracking system, preferably Kenexa 2XB Experience relating to underrepresented minorities and women
