Job Description: ORGANIZATIONAL RELATIONSHIPS: Reports to: Benefits Manager
Summary of Position: Assists with the administration of the Mills College health-related employee benefits programs. The Benefits Coordinator will be the primary point of contact in Benefits, serving as the department's health insurance and benefits specialist. The Coordinator performs routine daily office duties and general administrative tasks to ensure the effective and efficient administration of Mills College's health benefits and group insurance plans.
This is a customer service oriented position responsible for overseeing the day-to-day management of the group insurance coverage, 403(b) plan, COBRA, Disability, and various company policies. The incumbent must be able to ensure strict confidentiality of sensitive information.
Essential Job Functions:
Compiles benefit packets for orientation, conducts new employee benefits orientation and arranges for enrollment of employees in benefits plans.
Handles benefit inquiries and complaints to ensure quick, equitable, courteous resolution.
Provides information to employees regarding group insurance, disabilities, 403(b), COBRA, sick leave, vacation, and other leaves of absence.
Input benefit plan enrollment, changes into HRIS and benefits system.
Maintains contact with insurance companies, employees, and beneficiaries to facilitate proper and complete utilization of benefits for all employees.
Reconciles billing and enrollment data in coordination with Payroll, Finance and Benefit Vendors.
Assist with Wellness programs, flu shots, and health promotions, and other wellness projects as assigned.
Research participant records for internal and external information requests and inquiries, including verification of data for plan audits, open enrollment, etc.
Perform eligibility and enrollment audits.
Send retirement plan participation communication to newly eligible employees.
Assists in developing material communicating new plans to employees. Revises and reissues all communications material on benefits from time to time.
Additional Duties and Responsibilities:
Reviews and analyzes changes of state and federal laws pertaining to benefits, and reports necessary or suggested changes to management.
Assist with documenting internal procedures.
Maintain Benefits Calendar.
Make recommendations on updating policies and procedures related to benefits.
Participate in projects as needed.
Other duties as requested.
Requirements: Knowledge of:
Familiarity with compliance issues. (e.g. ERISA, ACA, FMLA, Workers Compensation, etc.) HIPAA and/or FERPA a plus.
Data management and report generating within a complex HRIS environment; advanced knowledge of Excel.
HR functions and processes of an academic or professional service entity so as to achieve high levels of efficiency and organizational satisfaction.
Working knowledge of federal and benefit laws and regulations.
Working knowledge of common HR concepts, practices and procedures, and experience with HR systems, or online benefits enrollment systems is desired.
Compile complex information, compute statistical data and complete reports.
Ability to multitask.
Ability to handle a high volume of data entry responsibilities with a high degree of accuracy.
Excellent verbal and written communication skills.
Maintain a positive attitude in a demanding work environment;
Consistently demonstrate a strong customer service orientation and reliable follow through.
Ability to work collaboratively and function as a dependable team player.
Education and Training:
Bachelor's degree or equivalent experience.
2-3 years benefits/HR administration experience required.
Experience in Higher Ed a plus.
Physical, Mental and Environmental Demands:
Office environment with periodic requirement to sit, stand, walk, kneel, reach with hands and arms, climb stairs, balance, stoop, and lift up to 20 lbs.
Hear and speak to exchange information in person or on the telephone.
Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.
Access, input, and retrieve information from a computer.
While performing this job, noise level in the work environment is usually moderate.

Additional Information: This is an exempt, full time position. Salary is commensurate with experience, ranging from $55K to $60K per year, and includes an excellent benefits package including medical/dental/vision/life/LTD insurance/403(b) retirement plan,10 days of vacation for year one, 15 days of vacation for years 2-10, and 22 days of vacation years 10+plus, 12 sick days and 10 paid holidays annually. Staff members also receive free admission to campus events, use of the pool, fitness center, and tennis courts. Tuition remission is also available after an introductory period. Pet insurance, long-term care insurance and legal-assistance insurance are available as voluntary benefits.
