The Office Assistant 3 provides office support to the Health Sciences Department and all of its programs. This position will answer phones, provide information to students concerning the department, review application material for program(s), schedule meetings, maintain confidential student files, and support budget reconciliation.
Office Support: - Provide office support to the Health Sciences Department and programs including support to the department chair, supervisor, faculty and staff, consisting of maintaining students files, training logs, organizing and cataloging documents, answering phones, scheduling meetings, recording meeting minutes, routing student and departmental forms, etc. Independently performs complex projects and assignments - Use electronic calendar for setting up student meetings with professional and faculty advisors, and prospective student orientations - Assist faculty Clinical Coordinator with clinical rotation scheduling, and serve as the recorder of meeting minutes for program-specific meetings, including Advisory Board Meetings - Maintain filing and record-keeping systems for students, courses, and accreditation requirements - Provide information to prospective and current students about the programs and requirements - Compile data for accreditation review and reports - Provide support in preparing quarterly schedules for classes, classrooms, and program activities - Review materials and qualifications submitted by incoming students to assure all matriculating students have met requirements - Coordinate departmental/program meetings and orientations - Assist with maintaining office procedures, priorities, and deadlines - Resolve problems
Fiscal: - Maintain credit card and travel expenditures - Purchase office supplies and equipment - Maintain credit card log and justify expenditures for yearly audit - May prepare and submit travel authorizations; may reconcile expenditures

Pay, Benefits, & Work Schedule
Salary: $2313/month with periodic increases up to $2984/month
Schedule/Appointment: Monday - Friday, 8:00am-5:00pm (1 hour lunch) / PSE Bargaining Unit 4
Working Conditions: Work is performed in an indoor office setting with frequent in-person interactions. It is essential to be able to remain at a desk/computer work station for prolonged periods of time, perform extensive data entry and other computer-related tasks and create/maintain filing systems for departmental records. Some evening or weekend work and/or occasional travel may be required.
