With approximately 215 active faculty, 174 Residents and Fellows and 56 staff in clinical care, research and education, the UW School of Medicine Department of Anesthesiology & Pain Medicine (A & PM) is a large Department within UW Medicine. The Department of Anesthesiology & Pain Medicine currently has an outstanding opportunity for an APM Residency Program Operations Administrator.
The purpose of this position is to provide Graduate Medical Education programmatic operational support to the ACGME accredited residency program in the Department of Anesthesiology & Pain Medicine. This individual will report to the Residency Program Director with a strong matrixed relationship to the Manager of the APM Education Program. The individual in this position must possess a strong systems orientation, knowledge of and demonstrated experience with process improvement techniques, and above-average expertise with technical/IT systems. They will function as the in-department expert on GME systems and will act as liaison to the GME office on specific technical issues.
The specific responsibilities of this program fall into several categories:
Oversight and management of Departmental ACGME technical systems, e.g., MedHub, Spin Fusion and other internal tracking systems as well as external presence on the web: 40%
Management of other ACGME-required program activities including assisting the CCC chair, providing MedHub reports on resident and Program performance to the PD and PA as appropriate and administering and maintaining the evaluation systems for Program/faculty/residents: 30%
Internal consultant and resource manager: training residents and Education office staff in appropriate use of technical aspects of program resources as well as individual management of resident portfolios: 20%
Oversight and management of resident budgets, including resident Professional Development Funds, resident travel funds, other resident reimbursements such as medical licenses and board exams as mandated by the UWHA and vacation/leave tracking: 10%
Development, Oversight and management for Department ACGME Technical systems, e.g., MedHub, internal tracking systems, resident intranet as well as external presence on the web: 40%
Ensure complex resident program review data and process is complete and on-schedule and that review reports are prepared for appropriate audiences
Management of data and compiling reports on resident work hours
Management of residency program evaluation system including administering evaluations of the residents, Program and faculty via MedHub and preparing regular performance reports for the Program Director, Department Chair, rotations directors and individual residents and faculty
Ensures the on-line presence of the residency program is up-to-date and portrays the residency program well
Ensure that educational milestones are appropriately mapped and incorporated into MedHub evaluations for analysis and reporting
Maintenance of rotation schedules in MedHub
Assisting department staff and chief residents with maintenance of on-call schedules in SpinFusion
Management of Resident ACGME-compliant curriculum: 30%
Becomes knowledgeable about residency training requirement educational requirements, both technical and didactic.
Assisting Chair of CCC including scheduling meetings, recording and maintaining meeting minutes and assisting with correspondence
Oversee resident reporting compliance in the MedHub system.
Prepares regular performance reports for Program Director, Department Chair, individual residents, individual faculty and rotation directors
Prepares regular reports for ACGME and internal oversight committees regarding program's compliance with ACGME requirements
Maintains systems to track resident absences including vacation, meeting and other leave
Coordinate and schedule resident semi-annual meetings
Coordination of medical student rotations and evaluations
Assist with other Program projects as needed
Internal Consultant and Resource Manager: 20%
Is expert at technical and data analysis of residency program and acts as internal consultant/trainer to residents and other Department residency/fellowship managers and program directors
Provides hands-on training in the use of MedHub and other systems to all new residents and new faculty
Develops and oversees all on-line residency education systems and on-line resources
Oversight and Management of Residency Budgets, including resident allotments:10%
Ensure appropriate expenditure and monitoring of resident budgets
Provide updated allotment reports to Director and individual residents
BA in Education, Science, Healthcare, Psychology or similar
Type and Years of Experience:
3 years minimum work in academic setting that involves graduate program and strong interaction with graduate students;
