The Department of Laboratory Medicine serves as a regional resource for clinical laboratory services required for patient care, research and educational programs in laboratory medicine. Our Department of Laboratory Medicine has an outstanding opportunity for a full-time (100%) Fiscal Specialist 1.
Review and reconcile a complex and high volume self-sustaining budget monthly. Acquire source documentation, research and resolve any discrepancies
Maintain a record keeping system for recording budget transactions; review budget reports, verify accuracy and take corrective action if necessary; reconcile budget status reports and prepare expenditure projections
Prepare Journal Vouchers (JVs), Requests to Transfer Expenditures (RTEs), Cash Transmittals (CTs), and other necessary fiscal transactions for corrections
Maintain purchasing records and resolve problems; review, approve and allocate purchase to proper budget and category; ensure compliance with UW, State and departmental rules and regulations
Maintain database for FedEx and Cellular users account; make monthly cell phone payment, reconciliation of 2 FedEx accounts, 1 cellular account, and response to queries from staff regarding FedEx shipping or cell phone. Prepare, compile and provide fiscal reports such as year-end reports, budgetary reports, and auditing reports, invoice vouchers, expense transfer, CTIs, and JVs, archiving fiscal records
Provide excellent customer services to internal faculty/staff and external vendors
Assist Budget/Fiscal Analyst and Finance Manager with accounting/reporting summary information, analysis of financial reports and development of procedures
Investigate and resolve problematic issues conscientiously
Evaluate for process improvement and make suggestions to management when a need is identified
Reconcile and analyze budgets as requested
Serve as backup for other financial positions as needed within the unit
Perform special projects as requested and other duties as assigned

REQUIREMENTS: Three years of fiscal record keeping experience, or equivalent education/experience
Experience with budget Reconciliation
Proficiency in Microsoft Excel, Word, Access
Experience with Purchasing, PAS, FIN, MyFinancial Desktop, E-Procurement, and Procard
Experience with Ariba modules, travel reimbursement, expense reimbursement
Familiarity with PurchasePath and Procurement Card system
