Work Schedule: Monday - Friday, 8:00AM - 5:00PM (Occasional Evenings, early mornings, and late clinic hours may be required). May work at Palm Desert Campus.

Under general supervision of the Student Health Center and Counseling and Psychological Services management team members, the Health Operations Analyst Specialist would be responsible for coordinating office system operations. This would include supporting the clinical operation daily, managing all Student Health Center and CAPS IT support ticket issues submitted, serve as backup to IT Consultant as needed, as well as by being responsible for proactively anticipating operation needs related to system and making the necessary changes to prevent issues from arising so that clinical staff can serve students effectively. The Health Operations Analyst Specialist acts as a liaison between staff, providers, patients, vendors, and the Information Technology Services (ITS) team to resolve immediate and ongoing issues. Duties will include but are not limited to the following:
Liaison with health providers, staff, patients, vendors, and ITS utilizing their expertise in Medicat and Titanium, software programs and computer technology to improve patient care, clinic flow and staff efficiency. Proactively identify ways to better utilize EMR and pharmacy software and implement solutions/improvements.
Monitor clinic operations including but not limited to: Ticket discrepancies daily for SHC and CAPS clinical systems (Medicat, Titanium, Propharm, etc).
Coordinate efforts until issues are resolved with satisfactory long-term solutions. Coordinate, prioritize, and monitor projects from inception to completion with accountability for end results including the coordination with IT staff regarding server updates and hardware issues that need to be addressed.
Serve as back-up to website content editor for SHC and CAPS. Serve as social media liaison to update and promote SHC and CAPS events on social media (Instagram, Twitter, Facebook, etc.)
Proactively evaluate clinic workflow processes, scheduling, medical charting and billing processes in order to make recommendations about process improvements, system enhancements, and new features to improve operations.
Monitor and ensure that all charts are closed meeting policy guidelines.
Provide management with reports including but not limited to: Types of patient visits, total non-recurring patient visits, cancellation reasons, etc.
Provide assessment and results as needed for benchmarking purposes.
Coordinate efforts onboarding new staff, coordinate and provide initial access as well as introductory training to all SHC and CAP systems as well as review HIPAA requirements.
Provide ongoing training to staff regarding new system enhancements and features.
Facilitate student emails received electronically from the health center website and route specific questions to clinical staff members when needed.
Will provide other duties as assigned.
The equivalent to three years of experience in general office clerical work, along with thorough knowledge of office methods, procedures, and practices.
Thorough knowledge of correct English, grammar, spelling, and punctuation.
Excellent oral and written communication skills; ability to write clearly and concisely, communicate complex technical issues to both technical and non-technical users, and generate quality documentation.
Oversee the full scope of project activities including initiation, execution, coordination, implementation, and evaluation.
A thorough knowledge of clinical and office productivity systems and the ability to use a broader range of technology, systems, and software packages is preferred.
Self-starter with the ability to work effectively both independently and collaboratively in a team environment.
Demonstrated excellent customer service skills.
Ability to address a wide range of issues which require interpreting policies and procedures and using ingenuity to resolve issues.
Ability to deliver knowledge about computer systems, programming and technical issues utilizing an effective and diverse communication style that is seamless to end user.
Ability to organize data into pertinent reports and generate metrics.
Ability to work on multiple projects simultaneously and under strict deadlines.
Ability to discern when situations need to be brought to the attention of management/supervisor.
The ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those of a sensitive nature along with the ability to work cooperatively with a diverse group of people.
High level of integrity and excellent judgment concerning privacy issues.
Readiness to learn new skills, and the ability to identify pertinent continuing education to support the requirements of this position and the evolving technical environment.
Experience in Medicat and Titanium preferred.
