Advertised Summary Job Description: The Associate Director will manage, coordinate, and recommend modification of departmental and multi-unit projects and programs within Student Affairs. Ensures the proper planning, measuring and monitoring of ongoing operations. Responsible for the development of recommendations and metrics to enhance the student experience and student policy compliance.
The School serves 8,000 students enrolled in numerous programs ranging from Master's degrees to Post-baccalaureate Studies, summer high school students, to visiting undergrads, to visiting international English language students enrolled in the American Language Program, to professionals pursuing certificates or executive Master's degrees.
CHARACTERISTIC DUTIES AND RESPONSIBILITIES:
General Services - Develops and maintains relationships with internal and external student services and student life stakeholders to ensure effective communication, collaboration and follow through on organizational initiatives, commitments and issues; maintain knowledge of complex issues. - Oversees the preparation and dissemination of a variety of student trend and forecast reports for SPS for use and access by students and/or external agencies and institutions. - Designs data collection tools and provides guidance on data collection efforts and retrieval of data. Analyzes and interprets reports and data, identifies trends, and presents findings. - Establishes the operational, and communication calendars for Student Affairs. - Maintains and continuously improves program operational processes and supporting policies. - Documents/codifies and audit processes for program planning and operations. - Helps maintain a balanced budget, and ensure the timely submission of expense reports, and budget allocation submissions.
Student Affairs - Leads the operations of school-wide events, workshops and community-building seminars. - Assists with student elections, application, and training programs, monitors student engagement operations, and submits budgets and tracks budget transactions. - Monitors service and experience quality and develops policy, process, and procedure to support student satisfaction. - Creates processes and procedures pertaining to student needs and requests. - Creates communication and survey templates and reports on outcomes of surveys. - Monitors compliance patterns and reports on outcomes. - Maintains listserv access and monitors communication effectiveness. - Reviews and revises web and printed publications copy.
Cross-Department Collaboration - Manages the communication strategy for the Division of Student Affairs including communication with incoming and continuing students. Serves as a liaison to Marketing for the revision of student-facing collateral. Manages the coordination of the student mailman lists. - Participates on cross-functional task forces, committees, and focus groups to address strategic initiatives and collaborative efforts - Serves as liaison to the University offices including: University Registrar, Student Financial Services, Student Information Services, Campus Safety, International Students and Scholars Office, University Health Services, Counseling and Psychological Services, Office of Disability Services, the Center for Career Education, and the Office of University Life.
Performs other duties as assigned.
General Minimum Qualifications: - Bachelor's degree and/or its equivalent required. - 4 years of related higher education, student affairs, or business experience required.
Additional Specific Minimum Qualifications: Ability to work with multiple stakeholder groups, in a fast-paced collaborative environment. Ability to take initiative and manage a variety of tasks and projects simultaneously, with impeccable attention to detail. Effective writing, editing, proofreading and presentation skills; ability to write evidence-based correspondence and reports. Ability to manage budgets. Knowledge of advanced functions of MS Office applications (Word, Excel, Access and PowerPoint.) Occasional evening and weekend work required.
Preferred Qualifications: Master's degree or equivalent. Administrative experience in client-centered environments, along with some experience in the provision of student services and/or program administration strongly preferred. Experience working with international student populations. Proven ability to plan and successfully execute events. Knowledge of SIS database management or similar mainframe relational database system strongly preferred.
