This position will provide administrative/secretarial support to Program Director, Chief Residents, Radiology House Staff and Fellows for all activities related to House Staff, as well as, provide back up support for the Residency Coordinators. In order to ensure that the program run smoothly and efficiently, this position will be involved in all aspects of the program by assisting and supporting the Residency Program Director and Residency Coordinators with recruitment, evaluations, training records, schedules, meetings, informational reviews, training verifications, recommendation letters, house staff database and library.
PRIMARY DUTIES AND RESPONSIBILITIES:
Creates and distributes schedules and coordinates administrative needs for Residency Program.
Assists in setting up interviews, tours, lunches, etc. for applicants.
Updates education website. Creates and distributed monthly residency newsletter in Microsoft Publisher.
Maintains and develops numerous Excel spreadsheets. Administers/prepares reports, correspondence, lectures and administrative materials required for the Program.
Maintains established departmental policies, procedures and objectives including regulatory records for license, reports, and notifications as necessary.
Manages resident library which involved checking in/out books and ordering books and software).
Coordinates ordering and distribution of supplies and handles problems concerning material received. Distributes mail daily. Assists with visitors and customers questions and needs.
Monitors the general maintenance of the building, notifies maintenance of problems, places work orders, and follows-up with housekeeping on the completion of tasks.
Assists with coordination of medical student electives.
Assists with management of the Sharepoint site (including Resident Learning Portfolios), and maintains departmental phone lists.
Schedules / coordinates appointments – such as staff meetings, room reservations, individual meetings, other meetings.
Equivalent of Associate’s degree with 2-4 years experience in administrative support.
Experience in university/medical environment preferred.
Advanced Excel, proficiency in Word, Access, and PowerPoint. Knowledge of Microsoft Publisher and FIS is a plus along with experience with accounts payable.
Excellent organizational and follow up abilities.
Must be able to work with all levels of the Department of Radiology including the Director of the Institute.
Must be customer service oriented and a professional representative for the Department of Radiology.
Must be able to maintain confidential information.
This position is full-time and works approximately 40 hours per week.
