Rutgers, The State University of New Jersey, is seeking a Secretary I for the Administration and Planning Department at Rutgers Cancer Institute of New Jersey. The primary purpose of the Secretary I position is to provide secretarial services for Administration and Planning, including support of grant submissions, correspondence, purchasing and day-to-day office maintenance.
Among the key duties of this position are the following:
Regularly coordinates meetings and arranges programs, events, and/or conferences, including reserving facility, arranging for caterer, issuing information and invitations, coordinating speakers and tracking event budget.
Works with Research Support Coordinator to coordinate and arrange bi-annual Advisory Committee and Ad Hoc meetings for Cancer Institute of New Jersey Shared Resources including preparing agendas and facility reservations and set-up.
Assists with the scheduling, coordination, travel arrangements of external advisors, and minutes/note taking of meetings and presentations, as needed, including, but not limited to, Program Meetings, Internal Advisory Board Meetings (IAB) and External Advisory Board (EAB) meetings.
Maintains meeting logs, which includes announcements, agendas and sign-in sheets for the established Research Programs and other CCSG related meetings (i.e. Research Leadership Council, IAB, EAB, etc.).
Manages payroll operations as timekeeper for all Administration & Planning and Office of Research Administration employees using PeopleSoft.
Completes purchase orders, check requests and other University forms via RU Marketplace. Ensures adequate level of supplies for the department including monthly copier paper and bottled water orders for the entire floor.
Minimum Education and Experience:
Graduation from an accredited program in secretarial studies plus four (4) years of full-time secretarial experience.
An additional year of experience is required in lieu of the secretarial program.
College credits may be substituted on a year-for-year basis for secretarial experience.
Up to sixty (60) credits may be substituted for two (2) years of secretarial experience.
Required Knowledge, Skills, and Abilities:
Must be computer literate with working knowledge of database and reporting tools such as Microsoft Word, Excel, Access and PowerPoint.
Demonstrated effective oral, written, and interpersonal communication skills.
Demonstrated ability to work independently with little supervision in a fast-paced environment.
Must maintain confidentiality regarding work assignments.
Must be willing to work additional hours periodically for certain assignments.
