Desk Clerk II: 1) Clerk Leadership: Responsible for performing receptionist and clerical duties of moderate difficulty on the day shift (7:00 a.m. to 3:00 p.m., Monday to Friday) in accordance with Residential Services policy and expectations. Responsible for preparing materials for the opening and closing of residence halls, including resident room changes. Demonstrates leadership among desk clerks in providing effective service to residents, staff, and visitors. Proposes suggestions for service improvement. Performs any and all duties of lower classification in same occupational group. 2) Building Reception: Cheerfully greet residents, staff and visitors in person or by phone. Engage residents, staff and visitors as they utilize the amenities of the residence hall, including services of the front desk. Thoughtfully provide information about campus, and residence hall policies and procedures. Provide excellent service to all who request services and support.3) Mail Coordination: Receive, record, and distribute U.S. mail, as well as, U.P.S., Fed Ex and other packages. Enter packages into online package distribution system. Carry, lift and move loads of supplies, materials and mail of 25 to 49 lbs. 4) Building Access: Maintain resident, guest, visitor sign-in/out records. Manage electronic and brass key management systems. 5) Supply Records: Check out and follow up for return of borrowed cleaning and recreational equipment and keys. Maintain appropriate forms and records. Request front desk office supplies via online system; stock as supplies are received. 6) Desk Coordination: Adheres to directives and policies outlined by leadership and in the Desk Clerk Handbook; Provide routine orientation to new employees in coordination with Residence Hall Managers and Housing and Residence Life. Responsible for accessing the automated on-call system in order to secure and schedule replacement of desk clerks. 7) Emergency Response: Complies with building management emergence response and evacuation systems, such as Fire Alarm procedures. Keep alert to unusual circumstances and situations; take appropriate action and efficiently report critical issues to Residence Hall Managers and other building management staff. Complete and submit Incident Reports via online system. 8) Other Duties as Assigned: Perform other tasks as requested by Residence Hall Managers and building management. Note: Desk Clerks shifts are typically available during the academic year. Additional shifts may be available during academic breaks (i.e. winter break, spring break and summer).
