MEDEX Northwest is the University of Washington's Physician Assistant (PA) Program located within the Department of Family Medicine in the School of Medicine. As one of the nation's first PA programs, MEDEX has a long history of training experienced health care workers (RN's, paramedics, military corps persons, allied health professionals) as physician assistants. The program is approximately 24 months in length and offers graduates both a bachelor's degree and master's degree. MEDEX admits 130-140 students per year in four training sites Seattle, Spokane, Tacoma and Anchorage. Graduates of the program typically choose to work in primary care jobs throughout the program's service area of Washington, Alaska, Montana, Idaho, and Wyoming.
MEDEX Northwest has an outstanding opportunity for a Program Assistant.
This Program Assistant is a full time position. 75% of this position will provide primary support position for the Administrator and Fiscal offices of the MEDEX Northwest Physician Assistant Program. The other 25% will work with other Didactic staff to provide course support to the MEDEX Didactic faculty. In this role, the individual in this position will work closely with didactic faculty and staff in implementing course activities and assisting in the production and distribution of course materials.
Use and creation of databases is major job responsibility requiring highly evolved computer skills. Additionally, the successful candidate will be able to quickly learn and navigate program initiatives, policies and processes. This will allow the Program Assistant to knowledgably interface with various members of the MEDEX faculty and staff leadership, students and prospective program candidates. The Program Assistant will have highly developed written and oral communications skills, used in the delivery of accurate and timely information about and for the MEDEX program and its constituents. The focus of responsibility is in providing MEDEX program support in the following areas:
Create and edit program correspondence and printed materials such as letters, schedules, memos, and reports utilizing Word, FileMaker and email.
Provide communication, calendar and filing support for the Program Administrator
Enter program data and generate mailings as needed.
Take meeting minutes as requested.
Provide office phone back up on a regular basis at a highly visible front desk. Utilize a multi-line phone system. Communicate accurate information to callers about the program. This entails knowing, understanding and execution of MEDEX programmatic details, policies and procedures.
Work within the UW Workday payroll system on payroll and leave monitoring, including auditing records for accuracy, troubleshooting and assisting employees with system issues.

Attend and take minutes at didactic meetings or retreats, as needed and assigned.
Assist with set-up of classroom events and workshops.
Perform other related duties as assigned.

High school graduation or equivalent AND Two years of full-time clerical experience OR Equivalent education/experience.
Must have excellent computer skills: proficient in Microsoft Word, Outlook, and Excel.
Must have prior experience working with a database program.
Experience working with web-based systems.
Excellent knowledge of email and all functions.
Excellent communication skills, both verbal and written.
Ability to prioritize, multi-task, problem solve, meet deadlines, utilize attention to detail and work both independently and as a team member.
Maintain effective interpersonal relations with faculty, staff, students and the public and act professionally to all.
Experience organizing detail-oriented projects.
Able to travel distances on campus for errands/provide staff support at MEDEX functions in the Health Sciences building or elsewhere on campus.
Function effectively as a team member working and communicating cooperatively and sharing responsibility.
Previous experience working in a higher educational setting.
Experience with developing agendas and taking minutes at meetings.
Familiarity with the role of the Physician Assistant as a medical provider.
