The sponsorship coordinator presents businesses and organizations with opportunities to receive exposure/access to Lake Metroparks’ audience/market and provide affiliation with Lake Metroparks programs and events and/or projects. In exchange, the sponsor agrees to pay cash and/or provide in-kind services, supplies or materials. The sponsorship coordinator:
Meets with staff to determine needs and develop/update sponsorship strategy.
Identifies and approaches/meets with clients to provide sponsorship opportunities, negotiate and implement agreements.
Maintains timely, accurate records of all sponsorship activity; submits sponsorship reports.
Essential duties and responsibilities that must be performed in order to carry out the position purpose summarized above:
Create and implement an annual sponsorship plan and strategy. Lead and manage the agency’s overall sponsorship efforts to raise cash and in-kind support to help fund and enhance events, programs and projects as defined by administrative staff.
Communicate regularly with event/program managers and administrative staff to assess, define and update agency’s need for sponsorships. Create and implement sponsorship event plans to attain cash and seek in-kind support from organizations, businesses and foundations. Communicate and coordinate efforts with other staff to effectively implement sponsorship strategy.
Cultivate and nurture existing relationships with current sponsors. Act as a liaison between sponsors and the agency; maintain relationships with existing clients and add new sponsorships to increase client database. Seek new sponsors by taking referrals, cold-calling on new potential clients and actively search different avenues for leads. Research and pursue corporate projects and funding opportunities.
Coordinate Lake Metroparks sponsorship program; identify partnerships for programming and special events, work with administrative staff to refine/adjust agency guidelines and collaborate with staff to develop and present proposals. Meet clients and explain to them the need for sponsor support and various benefits available.
Manage negotiations with sponsors and ensure that the agreement that has been reached is the closest to the objective of the overall agency strategy and event sponsorship plan. Negotiate and implement agreements, evaluate, track all activity, and report on partnerships.
Develop, maintain and use a comprehensive communication plan/strategy to include appropriate correspondence such as proposals, agreements, thank you letters and program outcome information; implement and follow through with all clients with timely and thorough communications.
Ensure appropriate and timely development of all sponsorship proposals/programs and delivery of all agreed-upon sponsorship benefits/deliverables. With event managers, evaluate and ensure effectiveness of sponsorship programs; revise/update as needed.
Coordinate facility use and sponsorship benefits with other Lake Metroparks staff; communicate and coordinate sponsorship agreements, activities and schedules to staff, arrange for timely sponsor billing and recognition to ensure all deliverables are executed as promised. Support general Lake Metroparks operations through participation in meetings as appropriate.
Follow all procedures and maintain/provide all documents as required by the Finance Department; maintain database of all activity and prepare reports detailing sponsorship activities.
Budget management: Prepare and administer sponsorship activity budget. Track sponsorship sales revenue to be sure goals are met; produce and maintain agreements; request and track sponsor invoices and payments.
Monitor, maintain and update sponsorship information for agency website and coordinate Lake Metroparks information on reciprocal sponsor/partner websites.
Ensure that marketing activities aimed at acquiring and using sponsorships are coordinated properly and align with the agency’s strategy. Work with other marketing staff to develop and implement comprehensive marketing, advertising and public relations strategy and related materials for sponsorship activities. Ensure that sponsors are integrated into agency promotional campaigns as appropriate and promised.
Maintain timely, accurate records of all sponsorship activity. Write and submit sponsorship reports.

While performing the duties of this Job, the individual is occasionally exposed to moving mechanical parts. The noise level in the work environment is usually low to moderate. The individual frequently works in a controlled climate.

Seasoned level of an appropriate combination of marketing/communications, sales, fundraising, non-profit management, and/or special event planning experience.
Bachelor’s degree in business or related field, with an emphasis on fundraising, non-profit management, or communications and a minimum of three (3) years of sales or sponsorship-related experience OR an appropriate combination of education and experience in related disciplines.
Knowledge and experience with local, regional and broader funding sources (public and private) that are appropriate for Lake Metroparks sponsorship projects.
Proficient in Microsoft Office Suite, skilled in writing, sales, and negotiation.
Articulate verbal and written communication skills; experienced in public speaking and delivering presentations. Knowledge of basic marketing techniques.
Must possess outstanding organizational skills, including organizing meetings, processes/project management and tracking details. Basic clerical skills, including filing and accurate record maintenance.
Demonstrated leadership skills: coaching, team building, goal setting, multi-tasking, decision-making, problem solving and analytical skills.
