Reporting to the Director of Donor Engagement with a dotted line to the Assistant Director of Development Communications, this position coordinates the implementation and management of a comprehensive gift acknowledgement and reporting program for the Harvard Law Development and Alumni Relations department. The position manages the following key areas: drafting customized gift acknowledgements along with other related gift correspondence, managing the pledge reminder process, assisting with gift financial reports. This position manages a library of HLS stats and content to be used for acknowledgement letters, proposals, and talking points. Additionally he/she plans, manages, and executes the production of the HLS annual report of gifts publication, as well as other related special projects. Serves as the department liaison for gift acknowledgement and pledge reminders and collaborates with colleagues to prepare a wide-range of gift correspondence, to include gift acknowledgements, specialized fund reports, as well as to respond to a variety of donor inquiries.
Specific responsibilities include:
Reviews gift information; confirms gift designation, pledge payment and related details and drafts letters that reflects the appropriate tone and message.
Manages the pledge reminder process including running relevant reports, partnering with fundraisers to ensure accuracy, drafting and mailing.
Manages key elements of the annual Report of Gifts; producing and vetting lists, partnering with staff writers on donor profiles, and editing the content.
Works closely with the HLS Financial Office, the University Recording Secretary's Office, and other administrative offices to research and resolve gift and fund issues.
Collaborates with colleagues at the University on fund terms and stewardship matters including producing the Harvard University Honor roll and related recognition materials.
Supports the productions of select fund and activity reports.
Coordinates requests for gift and financial data; keeping gift/donor relations files updated.
Manages data production for donor reports, pledge reviews, pledge reminders, and matching gift programs.
Collaborates with the Donor Services team to generate end-of-year fundraising reports and compile year-end data.
Notifies research program faculty and student services staff of new gifts and generates reports for those programs keeping them apprised of new gifts and donors.
Analyzes gift data and prepares tables and reports as needed.

Minimum 3 years of administrative or related business experience, preferably at a higher learning institution or non-profit.
Bachelor's degree preferred. Demonstrated experience in Development, particularly donor relations, gift processing and/or stewardship preferred. Experience in drafting fundraising acknowledgements and correspondence required. Superior analytical skills and attention to detail are necessary. Strong computer skills required, with expertise in Excel, PowerPoint, and Access.
Must be well organized, meticulous, and able to prioritize and manage multiple tasks in a fast-paced and goal-oriented environment. Ability to take initiative and proactively manage deadline-driven projects. Must have exceptional communication skills, both written and oral. Excellent proofreading skills required. Familiarity with financial and database tools is essential, with specific experiences in relational databases. Must possess the ability to prioritize projects with sensitivity to changing priorities while meeting deadlines. Strong customer service orientation is required. Experience or familiarity with fundraising databases preferred, particularly BSR/ Advance.
