Professional and Organizational Development has an outstanding full time opportunity for a Training and Development Support Specialist. This position is open to UW Human Resources employees only.
Reporting to the Executive Director, the Training and Development Support Specialist performs professional level duties in support of a variety of special programs and general customer service for the department of Professional and Organizational Development. The Training and Development Support Specialist works independently providing front line customer service, project support and participant liaison support via the phone, e-mail and in person. The Training and Development Support Specialist ensures timely and effective communication between program administrators and participants. Translates and articulates program goals and objectives. The Training and Development Support Specialist coordinates catering, materials, communication and other logistics related to special programs. Special programs include the following: Leadership Events, Special Events. This position involves presenting information and group facilitation 25-30% of the time.
Front Office Operations/OD & T Administrative Tasks: Connects with departments, supervisors and employees to ensure that they are aware of and understand POD's services Coordinates POD's presence at various information fairs (ex. Benefits Fair; Supplier Diversity Fair; etc.) across the University and make connections which may further POD's business Provide excellent customer service to program participants, both in-person and on the phone, including those calling with non-POD related questions Responsible for analyzing and prioritizing the administrative functions that need to be performed to assist with both internal and external communication pieces Provides registration support and event assistance for SPSR/SPDD and other special events as needed Responsible for project coordination and training support for Organizational Development Consultants Coordinate and manage all aspects of the participant waitlists for all POD courses including researching and communicating with participants, enforcing policy, advising and granting substitutions Manage course pre-work process Manage the ARC 360 process and help coordinate Leadership Advantage and Core Strengths student participation Independently delegate incoming correspondence to other POD staff or Director for response and/or action and provides significant support in the implementation and interpretation of policies, programs, goals and objectives. May provide back up support in answering multi-line phone; answer questions/transfer calls using independent judgment
New Employee Orientation: Oversight of New Employee Orientation and on-boarding resources for managers Participates as part of the presentation/facilitation team for the in-person NEO Reviews content of in-person orientation and recommends changes to content and design Coordinate content updates with other UW departments and Administrators Coordinate with other POD staff regarding logistics of each in-person New Employee Orientation Provide excellent customer service in registering new staff and welcoming them to each in-person NEO Communicate and provide assistance to employees with the on-line NEO Communicate and provide assistance to UW MCE for review and consistency between the in-person and on-line NEOs Communicate 30,60,90 day follow up information with managers of new employees
Strategic Leadership Program and Quarterly Courses: Facilitate the SLP Supervisor's Orientation (SLPSO) Prepare SLPSO workshop materials and coordinate presenters Research and update SLPSO sections regularly Facilitates presentations to groups of classified and professional staff members Represent Professional & Organizational Development (POD) to UW staff and groups within the UW, including outreach/marketing presentations
Tuition Exemption / Quarterly Course Training Programs Administration Back-up: Provide back-up support to Administrative Specialist: Resolving issues by communicating with UW and State of Washington staff regarding the Tuition Exemption Program Checking and verifying employees eligibility status for Tuition Exemption program Completing forms for individuals attending other higher ed. institutions Maintaining appropriate records Resolve problems, recommend alternative courses of action, and respond to inquiries regarding departmental procedures and services related to quarterly courses and certificate programs Participate in quarterly course planning team; and quarterly strategy meetings Coordinate all aspects of certificate programs including researching and tracking training histories, enforcing policy, advising and granting substitutions, certificate creation, signature collection, verifying process completion and submitting final paperwork Establish and maintain files related to catalog courses and certificates Provide information regarding programs to prospective participants Process participant registrations, cancellations and substitutions Makes recommendations regarding all policies related to quarterly course programs Process cash and other financial transactions Makes decisions to grant refunds and initiates refunds
Special Events and Programs: Provide information to public regarding special events Assist with resolving problems and responding to inquiries regarding departmental procedures and services related to special events Serve on Special Event Committees Design and Deliver presentations to groups of classified and professional staff members Provide on-site support and staffing
Professional & Organizational Development Office Efforts: Contributes to the overall program development effort and administration by: Exercising independent judgment in responding to a wide variety of non-routine matters Providing excellent customer service to both internal and external customers Participating in staff planning meetings Performing special assignments Working actively with Professional and Organizational Development staff to keep them informed and lines of communication flowing effectively Serving on HR or University-wide committees Modeling team effectiveness and communication Representing Professional & Organizational Development to outside organizations
Must be committed to customer service and appreciation of diversity.
Excellent oral and written communication skills are required.
Two or more years of experience in the training & development field and in presenting new employee orientation programs.
Demonstrated ability to work effectively with many levels of personnel, including faculty and other administrators, and professional and classified staff.
Demonstrated computer skills using PC's and Word, Excel and PowerPoint.
Demonstrated ability to work effectively in a fast-paced, high volume environment, excellent grammar and proofreading skills, attention to detail.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
CONDITIONS OF EMPLOYMENT:
