This position's primary responsibility is to oversee the Human Resource front desk and provide office support to the department. The majority of work includes acting as primary receptionist, managing the rotating front desk coverage, performing recurring and complex clerical assignments, establishing and maintaining records, and responding to inquiries for the department on policies and procedures.
Front Desk: - Develop Processes and Systems to support HR front desk activities - Provide reporting from team dynamix regarding self and staff workday activities - Oversee day-to-day operations of the front desk - Direct and oversee the work of the front desk staff - Greet walk-in customers and answer phones - Route calls and issues to appropriate HR personnel - Respond to emails and provide information regarding routine HR systems and services - Distribute mail and correspondence - Verify I-9 documents for new employees and follow-up with those not in compliance - Assist employees with MyCWU usage - Review documents, records, or applications for completeness, accuracy, and compliance with rules; determine and explain action necessary to achieve compliance or approval - Resolve problems and respond to inquiries regarding rules, regulations, policies, department procedures, and department services - Check-in periodically with HR Partners to ensure helpful support is being provided
HR Clerical Support: - Order, receive and maintain inventory, ensuring office supplies are available - Ensure printer is operational - Open and close office for daily business ensuring office and files are secure - Create, maintain, closeout, and archive faculty, staff, benefits, I-9, leave, medical, and L&I files - Maintain professional appearance of the office - Review documents, records, or applications for completeness and compliance with rules - Devise, evaluate, and revise forms for internal use and compose office correspondence - Establish and maintain complex electronic, manual, and database file systems - Prepare or assist in the preparation, compilation, and coordination of reports and records such as equipment usage, purchasing, inventory, personnel, scheduling, and registration - Perform complex word processing tasks such as merging and sorting, spreadsheet, and data base files, uploading/downloading, and creating footnotes and outlines
HR Website Support: - Maintain HR website and Outlook calendar - Make updates to HR webpages as requested - Monitor HR and Student Employment websites for necessary updates, outdated information, and broken links, research correct information and make updates - Submit employee announcements to MyCWU - Post HR activities and announcements to Central Today
Lead Duties: - Assigns and checks work and provides training and reviews work assignments. May provide feedback to supervisor to assist with work assignments and job performance.
Experience/training that demonstrates the ability to use Word, Excel, e-mail or similar software applications to produce written correspondence, create/maintain spreadsheets, receive and respond to e-mail inquiries, tasks, etc.
Excellent communication (oral and written), interpersonal and organizational skills
Ability to effectively organize multiple work assignments, including competing priorities to produce work products that are accurate, of a high quality and meet deadlines
OR an equivalent combination of experience, training and/or education which clearly demonstrates the ability to perform the essential functions of the job
Customer service experience
Ability to view the work flow process and recommend changes for efficiency and improved customer service

Pay, Benefits, & Work Schedule
Salary: $2,425/month with periodic increases up to $3,123/month
Working Conditions: Work performed in an indoor office setting with frequent in-person interactions. It is essential to be able to remain at a desk/computer work station for prolonged periods of time, perform extensive data entry and other computer-related tasks and create/maintain filing systems for departmental records. Some evening/weekend work and occasional travel may be required.
