Under the direction of the Student Business Services Office Director, the Associate Director is responsible for all day-to-day business and operational matters, management, and supervision functions in the four areas of the SBS office. The incumbent has responsibility for planning, implementing, and evaluating all the ongoing activities of the SBS office and for ensuring program integrity and superior customer service to the campus community and general public.
The incumbent is responsible for compliance with internal/external control guidelines, policies, and laws. The Associate Director is responsible for SBS recruitment, maintaining appropriate separation of duties, and assisting the Director in managing outreach efforts to students, and campus units regarding SBS activities.
In collaboration with the Director, the Associate Director is responsible for the fiscal management of collected funds and SBS budgeting.
Student Business Services (SBS) is responsible for UCSC's receivables, sundry debt collections and credit balance refunding. The office consists of four major areas: Customer Service which handles all student interactions, disbursements, and refunds; Receivables and Loans which handles collections on past due accounts and manages student loans; Analysts which maintain the UCSC eBill/ePay system, general IT support for the office, and handle reporting; and the Main Cashier's Office which accepts student payments, collects sub-cashier deposits, and deposits to the bank. Additionally, SBS oversees UCSC's credit card merchant compliance as well as the campus' cash compliance.
Annually, the SBS office collects approximately: $42 million in deposits from the 150 UCSC sub-cashier stations and process approximately 76,000 transactions posted to AIS, representing over $163 million in general payments. Additionally, SBS handles $93 million in financial aid disbursements and $70 million in refunds either mailed or directly deposited to the student's bank account.
SBS employs approximately fifteen full-time employees (FTE) and between four to six student workers.
The SBS Associate Director reports to the Director of SBS as a member of the Student Business Services leadership team. The position requires demonstrated excellent leadership, management, analytical, communication, interpersonal, and team building skills.
Selected incumbent must pass a pre-employment background check.
Must possess a valid license to drive in the state of California.
Ability to safely perform the physical requirements necessary in storing and moving materials. Lift light to moderate objects up to 40 lbs. with or without accommodation.
Ability to regularly stand, walk and sit for extended periods of time.
Ability to work overtime including evenings, nights, weekends and holidays to meet operational needs and work an alternate work schedule shift as required.
Ability to satisfactorily complete required training classes and courses to keep abreast of new laws and regulations, as well as keep skill set up to date.
Per the Child Abuse and Neglect Reporting Act (CANRA), this position has been identified as a Mandated Reporter. The selected candidate will be required to report known or suspected child abuse or neglect as defined by CANRA and will be required to sign a Statement Acknowledging Requirement to Report Child Abuse prior to commencing employment.
-Bachelor's degree education or equivalent work experience/training in business administration or related field. -Experience in a financial or administrative office with the ability to provide a solid foundation and background to interpret federal, state and financial policies, develop and implement policy and business practices and maintain excellent internal accounting controls. -Experience monitoring operational effectiveness and exceptional customer service in a fast paced environment. -Substantial experience effectively supervising and coaching staff.
