Office Administrative Duties
Oversee the day to day office operations of two federal grant programs.
Act as primary administrative support person to Educational Talent Search (ETS) and Educational Opportunity Center(EOC) staff.
Possess knowledge of and apply rules and regulations of the U.S. Department of Education (EDGAR), East Tennessee State University and Educational Talent Search and Educational Opportunity Center as they apply to program activities.
Keep all correspondence with the U.S. Department of Education in easily accessible format.
Prepare travel requests and claims.
Prepare correspondence and interoffice communication.
Receive and route incoming telephone calls for staff members.
Prepare mass communication to participants
Monitor all expenditures of two federal grant budgets
Update the Associate Director regularly on the status of budgets.
Work closely with the Grant Accountant in the Comptroller's Office and with the Office of Sponsored Programs to assure that all grant funds are spent according to federal regulations.
Maintain in-house ledgers of all expenditures for both grants.
Reconcile monthly budget summaries from Comptroller's Office.
Responsible for compiling and preparing five years of projected budgets for all grant proposals submitted to the U.S. Department of Education by the project.
Prepare, maintain, record and submit all requisitions to ETSU Purchasing Department for processing.
Maintain procard activity log and balances with statement on a monthly basis for two grants.
Maintain and update files of all current temporary and permanent employees.
Maintain and update the Access databases for EOC and Talent Search.
Responsible for annually tracking current and prior participants for both programs for enrollment verifications and FAFSA completion.
Organize and maintain participant files for two programs.
Compile monthly and annual reports using database.
Assist in the preparation of a statistical annual report for the U.S. Department of Education.
Is responsible for the storage and maintenance of all confidential records of participants.
Create and edit literature distributed to participants and parents, i.e. newsletters, brochures, handbooks, etc.
And other duties as assigned by direct supervisor.

High School diploma or GED plus three (3) years secretarial office experience, or an equivalent combination of education and experience.
