The NYU Coordinating Office for Hospitals Improving Public Health is a program funded by the Robert Wood Johnson Foundation (RWJF). This coordinating office is housed in the Center for Healthcare Innovation and Delivery Science (CHIDS), which has its home in Department of Population Health, and the NYU School of Medicine. The purpose of this office is twofold: 1) to provide strategic guidance to RWJF on the direction and success of its priority initiatives and to inform agenda-setting activities for future efforts, and 2) to enhance cross program learning for RWJF program officers and grantees to accelerate progress, synergy, and collaboration.
We are seeking a qualified Project Manager to coordinate and manage operations related to the NYU Coordinating Office for Hospitals Improving Public Health. This position will be responsible for ensuring the successful implementation of day-to-day activities, and completion of multiple projects. The position will report to the Executive Director, while also working closely with the Director, RWJF staff, and external partners. This position will be responsible for ensuring the accurate execution of day to day operation of the Coordinating Office.
Project Management - Oversees planning/management of activities and of multiple projects as assigned. Schedules regular meetings; develops agendas in advance of meetings. Drafts and distributes minutes and clear task lists to participants to ensure adequate project progress. Reviews progress of projects and initiate appropriate actions to achieve target objectives.
Financial Development Monitors budget throughout project, tracks expenditures, processes receipts, and reimbursements. Also helps with preparation of reports to funding agency.
Reporting and Data Analysis Prepares draft progress reports to funding agencies and presentations to sponsor and agency. Prepares and provides reports to all necessary parties on the progress of the coordinating office as needed. Recommends changes/additions to established data fields. Analyses data collected, formulates, prepares database and generates a complete measurement report for review by the executive director.
Grants - Administers preparation of grant applications and other grants related activities such as developing grants applications/proposals and fund raising activities if applicable. Collects and organizes required paperwork for submission if required for the grant. Follow up and coordinates resolution of all issues progress reports to the sponsors to fund medical research in the division.
Decision Making and Problem Solving Combines and evaluates information and data to make decisions about relative importance of information and choosing the best solution to solve problems. Resolves complex situations based on established policies and procedures and refers non solved issues and questions to the supervisor.
Literature Reviews - Performs literature reviews and surveillance activities as directed
Report Submission - Managing submission of program-mandated deliverables, interim reports, financial reports and progress updates and participate in preparation of these reports
Website Content - Coordinating content and updates with the RWJF web development team or, if appropriate, with the NYU web development team
Other Duties - Participates in special projects and performs other duties as required.
To qualify you must have a Bachelor's degree or equivalent in health care administration or related discipline
Minimum of two years progressively responsible related experience coordinating research studies
Proficiency in using various Microsoft Office applications such as World, Excel, Access, Power Point and Outlook. Familiar with Internet applications and electronic medical records
Effective verbal and written communication skills, and strong analytical, organizational and interpersonal skills
Ability to interface effectively with all levels of management and work and communicate effectively with both internal and external customers.
Ability to work within a team environment as well as independently
Commitment to continuous learning as required by department administration
Ability to manage time, multi task, and prioritize work
Must be a self-starter and demonstrate the ability to work independently if necessary
Strong understanding and knowledge base of coordination requirements associated with clinical/research trials
Ability to identify, analyze and solve problems; ability to work well under pressure
Experience working in an Academic Medical Center preferred
Knowledge of basic medical terminology is preferred
