Under the general supervision of the Director, International Faculty & Scholar Office (IFSO), provide administrative and operational support to the IFSO team consisting of the Director, Assistant Director, Immigration Attorney, four Immigration Analysts, two intake advisors and Office Manager. Incumbent will participate in hiring, training, scheduling, and providing work direction for front desk student assistants. Serve as the designated timekeeper for student employees and payroll actions within the unit. Manage the front office and reception area, ensuring efficiency, integrity, accuracy, and excellent customer service.
Manage the day-to-day workflow between the IFSO front desk operations and advisors. Exercise sound judgment and discretion in policy interpretation and the advising of international scholars about regulatory compliance for non-immigrant status holders, extensions of programs, international travel, applying for SSN, and California Drivers License, taxes, and general support in completing applications. Direct referrals to incoming international scholars and provide general information essential for their successful stay at UC San Diego.
Serve as an Alternate Responsible Officer (ARO) for UC San Diego's J-1 Exchange Visitor Program. Support J-1 scholars with the Student and Exchange Visitor Information System (SEVIS) compliance by monitoring, verifying, and updating the mandated SEVIS registration data, travel validation, orientation attendance and updates as necessary. Update international scholar information in the office information system, ISSM. Supervise the periodic reconciliation of paper files and records in ISSM.
Independently interpret policies and procedures as related to these duties, as failure to comply could have a detrimental effect to the scholar and UC San Diego. Develop and analyze statistical data related to outreach and volunteer programs participation. Handle occasional cash register duties for the Friday International Cafe, including handling cash, reconciliation of cash register tape, and reconciliation of cash report to maintain full compliance with BUS-49 regulations. Provide general administrative and program support to the IFSO Director, as needed.
Must have access to reliable transportation.
Overtime and weekends may be required.
A Bachelor's Degree in education, counseling, international studies or related field and a minimum one to two (1 - 2) years of work related to student or scholar advising activities in an academic setting; or equivalent combination of education and experience.
Expert computer skills, with experience in spreadsheets, charts, or graphics to display data, and proficiency adapting programs to meet sophistication required.
Knowledge of computer-based applications utilizing databases, word processing, spreadsheets, email, and web development tools including: Excel, Word, PowerPoint, and calendar programs. Ability to identify and access online campus information systems and resources.
Proven outstanding level of professionalism in providing administrative assistance, including ability to exercise independent judgment, discretion, initiative, tact and diplomacy in handling highly sensitive matters and maintaining strict confidentiality
Excellent public relations and interpersonal skills. Demonstrated ability to work with international scholars, staff and faculty. Skill in customer service practices and assessing, understanding, and exceeding customer needs.
Proven effective writing skills, including web writing, to be able to formulate and present written material in a logical and comprehensive manner. Demonstrated ability to prepare and present non-standard reports.
Excellent general research, comprehension, and analytical skills. Proven ability to identify appropriate resources and understand and interpret complex data, professional materials and documents.
