This position is in the Department of Otolaryngology. This position is for the Medical School Campus.
Position performs certain A/P functions, manages various HR, non-payroll related matters; manages departmental items related to systems access; assists with management of Department Sharepoint site; and assists with special projects as requested.
PRIMARY DUTIES AND RESPONSIBILITIES:
Processes certain A/P documents timely and accurately. These documents include travel reports/advances, check requests, inter-departmental invoices, receipt vouchers, budget adjustments and journals. Also responsible for the Department Procard purchases and evaluates and recommends purchasing sources for such.
Prepares departmental monthly sales tax journal and submits to tax department.
Assures that all documents are filed within electronic systems and performs related follow-up, as required.
Assists with special projects, as requested.
Coordinates telephone services, working to resolve problems and submitting work orders for moves, additions and deletions.
Maintains all department keys, locks and access systems. Coordinates ordering and distribution of keys and handles problems concerning items received.
Coordinates computer systems access for department personnel and submits requests for line moves/relocations/terminations.
Manages pagers, requests for such, activations, returns and process monthly pager invoices and related journal to charge out as needed.
Processes requests for badge replacements.
Gathers and monitors faculty leave records.
Assists with management of the Sharepoint site (Otolaryngology Intranet), maintains personnel access list and phone list as well as posting news related items.
Equivalent of Associate’s degree with 2-4 years experience in administrative support.
Experience in university/medical environment preferred.
Working knowledge of general office equipment as well as working knowledge of Word, Excel, Adobe and similar programs.
Organizational, interpersonal skills and attention to detail.
The hiring range for this position is $18.44 - $23.52 per hour.
