The Center for Biostatistics in AIDS Research (CBAR) is a large complex high profile research center with annual budgets totaling over $32,000,000, with 120+ Statisticians, Programmers, Research Scientists, Faculty, students, and staff. The CBAR provides statistical analysis for the world's largest network of AIDS Clinical Researchers.
The Coordinator II (Financial Program Coordinator) is responsible for coordinating the effort for all people at CBAR. This includes ensuring that effort, which changes on a monthly basis, is charged accurately (to the appropriate funds) and according to federal regulations. The Financial Program Coordinator will be responsible for preparing complex reports that require selection preparation, interpretation of financial data, and federal regulations, as well as for performing financial and compliance analysis.
Additional duties and responsibilities include, but are not limited to, the following:
- Manage and bill out (based on effort) the IT Recharge Center; includes tracking effort for staff and processing effort changes and salary journals. - Review and maintains audit records for payroll (monthly, sem-monthly and weekly). - Oversee, coordinate, prepare, and maintain all documents and communication for appointments, new hires, offer letters promotions, terminations, professional leaves of absence, short-term disability, I-9s, etc. - Responsible for processing and tracking the necessary paperwork and steps to onboard and off-board people to ensure that Standard Operating Procedures are followed, which is required by Federal Regulations. - Manage and maintain other support and Biosketches for grant submissions and progress reports/RPPRs; maintain staff CVs; and oversee IRB continuing review and modifications - Responsible for maintaining several complex and detailed excel spreadsheets - Ensure that standard accounting practices, university policies and federal regulations are followed - Serve as the principal contact for inquiries about IRB, human subjects training, absence balances - Coordinate and process visa applications and renewals; maintain CBAR visa tracking system; and provide employment authorization documentation - Continue to learn in order to educate others of changing regulations that affect your work. - Compile weekly timesheets for CBAR supplemental accounts; incorporate monthly hours into CBAR LOE chart; and process related salary journals - Work on other duties, tasks, and special projects as needed

- 5+ years of related experience required; a combination of education and experience may be considered.
- Working experience with Microsoft Word and Excel required.
- BA/BS strongly preferred. - Experience with NIH biosketches, other support, and IRB strongly preferred. - Experience with Oracle and/or other Harvard financial systems preferred.
