This position provides secretarial assistance to the Dean and the Associate Dean(s) of College of Education and Professional Studies (CEPS) as well as support for the college. This includes responding to inquiries regarding the Dean's office and Central Washington University policies and procedures; composing correspondence; and creating and producing events for the Dean's office and Associate Dean(s).
Secretarial Support for Dean & Associate Dean(s): - Work with a wide variety of sensitive and confidential information • Prepare and maintain business, administrative and academic reports and records of a highly complex nature - Develop and maintain internal record keeping systems, keeping within the guidelines set by Business Services and Contracts record retention guidelines - Maintain college level Dean's office supervisory personnel files - Execute queries to provide financial and educational trend data on salary, faculty workload, FTE faculty, and student FTE, academic progress, and graduation rates - Compose written correspondence on behalf of the Dean, researching and drafting replies to more complicated correspondence for the Dean's approval - Prepare and submit CWU Board of Trustees agenda items - Plan, schedule and coordinate Executive Council chair retreats, and quarterly meetings - Independently research, respond to and resolve complex questions, problems, and issues as they arise - Respond to students, faculty and the public, answering questions and referring visitors - Attend Council of Department Chair meetings, take minutes and address questions. - Stay abreast of new and revised university procedures by attending staff development and training sessions - Coordinates administrative standards and procedures for independent departmental functions such as research, curriculum and instruction - Coordinate all aspects of all meetings, workshops, and conferences for the Dean and Associate Deans in the College of Education and Professional Studies - Manage the College of Education and Professional Studies appointments; compose committee appointment letters and correspondences for signature within the Dean's office - Review and revise curriculum submitted to the Dean's office. Maintain curriculum log for additions, deletions, and changes; forward to Faculty Senate Curriculum Committee - Routinely and independently monitor/update CEPS Faculty Membership database - Answer telephone calls, instant messaging and e-mail, promptly responding to inquiries - Arranges for maintenance contracts and emergency repairs - Reviews, evaluates, and recommends changes of policies and operating procedures
CEPS Support: - Support the CEPS Advisory Council by organizing scholarship applicants' files for review, making all room arrangements for meetings, setting appointments for interviewees, preparing all correspondence to applicants and awardees - Serve as the information and policy resource person to faculty, chairs, students, and administrative staff - Designs office space layouts to facilitate flow of office work between units - Participate in event planning and other projects for the College of Education and Professional Studies - Assists in preparation of long-range plans for space utilization and renovation - Maintains liaison and coordination between service and technical or professional units - Transcribe and maintain all minutes and agendas for the Advisory Council, Teacher Preparation Professional Education Advisory Board (PEAB), committees, and any other meeting requested by the Dean or Associate Deans

Increasingly responsible experience in office/clerical, secretarial, bookkeeping;
Experience that demonstrates the ability to use Microsoft Office software (Word, Excel, and PowerPoint) and/or similar software applications to create complex documents, create, modify, and format spreadsheets, and prepare professional presentations
Ability to write and speak effectively, establish and maintain cooperative relationships with others and contribute to a healthy work environment
Demonstrated ability to effectively organize multiple assignments, sometimes of a complex nature or involving competing priorities, to produce work products that are accurate, thorough, and on time
OR applicable combination of education and/or experience which demonstrates the ability to perform the essential functions of the position.
Ability to respond quickly and effectively to uncertainty and constant changes
Experience utilizing Microsoft Access software to create queries, forms and reports
Broad knowledge of departmental and university policies and procedures
Proficiency with PeopleSoft and/or similar system
Experience with social media such as Facebook

Pay, Benefits, & Work Schedule
Salary: $2,425/month with periodic increases up to $3,123/month
Working Conditions: Work is performed in an indoor office setting with frequent in-person interactions. It is essential to be able to remain at a desk/computer work station for prolonged periods of time, perform extensive data entry and other computer-related tasks and create/maintain filing systems for departmental records. Some evening or weekend work and/or occasional travel may be required.
