This position's primary responsibility is to provide office support to the department. The majority of work includes duties such as complex clerical assignments, establishing and maintaining records, responding to inquiries for the department on policies and procedures, process fiscal transactions, overseeing student staff, checks work of others, makes corrections, resolves problems, provides technical assistance to maintain departmental website and has daily interaction with public clientele, students, staff, and faculty.
Office Support: - Resolves problems and responds to inquiries regarding rules, regulations, policies, department procedures, and department services; answers telephone; receives and refers visitors, makes appointments. - Reviews and responds daily to primary department email system. - Supports the office operations, establishes office procedures and standards, priorities and deadlines. - Reviews documents, records, or applications for completeness, accuracy, and compliance with rules; determines and explains action necessary to achieve compliance or approval. - Composes office correspondence such as requests for documentation and responses to requests for information; devises, evaluates and revises forms for internal use. - Establishes and maintains complex electronic or manual file systems or data base files. - Prepares or assists in the preparation, compilation, and coordination of reports and records such as financial, labor distribution, equipment usage, purchasing, inventory, personnel, scheduling, registration, and testing. - Performs complex word processing tasks such as merging and sorting, integrating text with graphics, spreadsheet, and data base files, uploading/downloading, and creating footnotes and outlines; uses spreadsheet and data base software to develop and maintain records; uses basic statistical software packages; performs simple computer inquiry programming; uses graphics software and recommends appropriate display of information. - Orders, receives and maintains inventory. - May assist in studies, surveys and the preparation of reports by gathering and computing numerical information; draft for supervisor's review narrative interpretation of information to be included in reports; review reports for clarity and accuracy; refer questionable data or narrative to supervisor for clarification. - Schedules meetings, reserves rooms, and schedules invitations and screens calls for the Director. - Coordinates communication and meetings with the Westside centers. - Schedules and drafts work orders for repairs and maintenance of the department - Oversees and organizes departmental monthly data and stats and prepares data for reports to Associate Dean - Proofreads and checks materials/handouts/publications written by staff and makes suggestions and corrections when needed - Oversees department assessments, orders supplies, takes minutes, oversees director's calendar, sits in on meetings for director, reviews/organizes publications and articles for department. - Assists with sending out, recording, and archiving education placement files. - Works within the Wildcat Career Network database, posting jobs and internships, training staff/students/faculty on system. - Assists with promotional marketing/event materials for department. - Assists program coordinators with career events. - Is trained in all aspects of academic internships and acts as backup to internship program coordinator. - Helps maintain website, adding and updating information, screens, design where appropriate
Fiscal Support: - Reviews and verifies fiscal reports for accuracy; investigates and corrects errors to ensure compliance with established procedures and policies; uses basic arithmetic to perform computations. - Maintains, monitors, evaluates, reconciles state, dedicated, foundation and S & A budgets. - Provides director with spreadsheet and reports for monthly expenditures for five budgetary accounts, projected spending and cost-saving initiatives. - Assists staff with travel and expense requests. - Completes requisitions, invoices, collaborates with budget office, processing payments.
Lead Responsibilities: - Actively engages in recruitment and hiring 1 to 3 student employees each academic year to work 10-15 hrs per week. - Clearly defines performance expectations, ensure accountability, and provides ongoing informal feedback, coaching, and mentoring. - Ensures employees have necessary resources. - Oversees and directs the work of staff; serves as mentor, coach and leader, and resolves complaints or issues. - Promotes professional development opportunities. - Develops and fosters supportive working relationships, motivation and engagement. - Communicates information to staff on an ongoing basis to influence staff engagement and to be a part of a larger community. - Recognizes and rewards employees for good performance. - Schedules employee work hours/shifts; monitor hours worked. - Adjusts leadership style as needed to achieve results. - Recognizes value of and promotes diverse workforce. Experience or training that demonstrates the ability to use Word, Excel, e-mail and/or similar software applications to produce written correspondence, create and maintain spreadsheets, receive and respond to e-mail inquiries, tasks, etc.

Ability to effectively organize multiple work assignments, involve competing priorities to produce work products that are accurate, of a high quality and meet deadlines.
General fiscal experience, training and/or education that demonstrates the ability to monitor and reconcile budgets, budgeting, travel, compile and interpret fiscal data and provide related reports
Customer service experience
Experience and/or familiarity with HRIS database software such as PeopleSoft

Pay, Benefits, & Work Schedule
Salary: $2,313/month with periodic increases up to $2,984/month
Schedule/Appointment: Monday - Friday, 8:00am-5:00pm (1 hour lunch) / PSE Bargaining Unit 4
Working Conditions: Work is performed in an indoor office setting with frequent in-person interactions. It is essential to be able to remain at a desk/computer work station for prolonged periods of time, perform extensive data entry and other computer-related tasks and create/maintain filing systems for departmental records. Some evening or weekend work and/or occasional travel may be required.
