Under the direct supervision of the Chair of the Professional Music Department, the Department Coordinator manages daily operations of the Department office and facilitates Department initiatives. In addition, the Department Coordinator provides administrative support for the Chair to advance the student experience including all matters related to maintaining an organized, efficient flow of information with the Department (among faculty, students, staff) and other constituencies. On campus, the Department Coordinator also works closely with the Chair to organize, promote and facilitate events and other initiatives—and is a point person and resource for students providing information about the major and responding to questions. The Department Coordinator works closely with the Professional Education Division Office and with others both on- and off-campus.
Essential Duties and Responsibilities:
Provide administrative and reception support to maintain daily operations including but not limited to: Calendar management for Department, faculty, and Chair schedules; budget facilitation and recordkeeping; dissemination of Department information such as faculty office hours, Chair advising availability and Department meetings; engaging with visiting artists; take and distribute accurate minutes of agenda items and actions taken in Department meetings; purchasing office supplies and equipment; and processing visiting artist, major residency and travel requests.
Demonstrate strong communication skills and represent the Professional Music Department on- and off-campus; communicate Departmental information including the preparation of written correspondences (hard copy and/or electronic), including program materials, emails, social media, Department website and Departmental policies.
Serve as the point-person for the Department office by providing a supportive and responsive environment for students to access resources, personnel, or materials related to the Professional Music Major. Answer student questions and/or direct students to the appropriate faculty, Chair, or College office.
Demonstrate strong technology skills to prepare, manage, and share documents that support office and classroom administration; maintain proficiency with the Colleague Information System for the purpose of departmental use for student records, and student class registration.
Maintain budget information, including purchase orders, work orders, check requests. Reconcile purchasing card transactions made by the Chair and Department Coordinator and compile tracking reports of budget(s) to appropriate budget lines.
Work closely with the Chair to promote and execute Departmental events such as annual Careerealism, Artist Entrepreneur, and Visiting Artist Series.
Assist with the administration of Berklee Revelation Records, as needed.
