The registrar services analyst is an academic support position that will advise and answer questions related to registration and its various processes. In addition, the analyst has specific responsibilities for course requisites, approving and granting access to the Faculty and Advising Center and the student information system (PeopleSoft), registration hold (service indicator) placement and maintenance, supporting academic units in advisor assignments and advisor maintenance, course fee management, dynamic dates, and block registration. The analyst supports the Student Fee Committee and assists with testing, debugging, analyzing issues related to responsibilities of this position. The analyst will also support the registrar services unit and may work the front line assisting students, faculty, and staff.
The position is essential to the operation of the University because the services provided directly impact students, faculty, academic departments, schools, colleges, and regional campuses through proper assessment of course fees and successful class registration. Both the requisite and course fee assessment encoding systems require absolute accuracy in a very complex environment to prevent curricular/degree credit problems and financial loss from incorrect fee assessment.
1. Faculty and Advising Center – Works with academic colleges, departments, and schools to support their maintenance of the advisee lists and advisor assignments as well as their use of class lists. Reviews requests for additional access for class lists and/or advisee lists and implements if request is appropriate based upon federal regulations and university policy. Removes access weekly based on email notification from Human Resources, as appropriate. Troubleshoots to help faculty and staff with difficulties viewing class lists and/or advisee lists. Tests updates and enhancements to the Faculty and Advising center.
2. Fees – Maintains course fees database to ensure accurate course fee assessment. Supports the Student Fee Committee in review of course fees. Collaborates with the Provost, Budget Planning and Analysis Office, Student Fee Committee, and academic departments/schools. Ensures course fees are advertised to students and to the public. Conducts extensive and ongoing testing of course fee encoding and assessment, especially when new fees are approved. Analyzes all reports related to course fee assessment to ensure appropriate fees are charged and students' records are up-to-date.
3. Requisites – Interprets course requisites as written and approved by University Curriculum Council; works with academic colleges and departments/schools for clarification. This includes knowing when it is appropriate to change a course requisite and when it is not, based on the change being requested and working within established policies and guidelines. Encodes and maintains all undergraduate and graduate course requisites in student information system. Tests scenarios that execute requisite rules. Periodically runs a requisite check and drop process to remove students from classes if they do not meet the requisite. Troubleshoots when students have difficulty registering and responds to questions from students, departments/schools, and/or colleges regarding requisites. Applies individual class section requisites to control enrollment as requested or predetermined by program.
4. Administrative Duties – Contributes to administrative team to support critical needs of the office and academic community. Assists as needed to ensure the Enrollment Management Division and Registrar Services are meeting goals. Responsible for mass placement of and maintenance for holds on student records that prevent class registration or other services. Works with colleges to support academic advisor assignment process. Applies rules, manages updates, and conducts periodic audits of class dynamic dates to ensure appropriate cancel/add/drop/withdrawal dates encoded to class all sections. Manages mass block enrollment process to drop students from one class section and move them to another. Assists Assistant Registrar for Registration with testing of new PeopleSoft releases and upgrades related to course fee assessment, course and class requisites, registration, and the Faculty and Advising Center. Provides coverage in Registrar Services to support front line as needed.
5. PeopleSoft Security & Training – Reviews requests for access to systems and grants access accordingly based upon FERPA, University policies, and need. Works with Assistant Registrars to schedule and provide training sessions for registrar-related processes and procedures across the institution.
A minimum of a Bachelor's Degree in a related field.
An equivalent combination of education and experience to provide familiarity with large complex database systems and problem solving may be considered.
At least 2 years work experience in higher education.

This position requires knowledge of all FERPA regulations and guidelines and needs familiarity with Ohio University policies and procedures (detailed knowledge may be acquired after hire).
