Led by a coalition of faculty from five professional schools at the University and a faculty Chair/Director and Senior Associate Director, the Advanced Leadership Initiative (ALI) is an innovative approach to educating and deploying a new force of already accomplished senior leaders who seek to address challenging national and global problems. Through a year-long program anchored by specially-designed Advanced Leadership seminars, Deep Dive conferences, and University-wide course audits, the Initiative fills existing skills and knowledge gaps so experienced leaders can tackle large, complex societal challenges facing the world today.
Duties and Responsibilities: Performs a variety of complex administrative/support duties (e.g. greeting visitors, answering general phone calls, responding to inquiries, mail management, and processing invoices) to coordinate the activities and procedures of ALI. Works independently with minimal supervision. Updates supervisors, both the Program and Operations Manager and Managing Director on status of projects.
Ensures a Cohort of 70+ transition seamlessly into the University community, supporting the pre-matriculation process by creating, organizing, and updating key pre-program information (e.g. IDs, housing information, HUIT, and course catalogues). Takes lead with the on boarding process for Fellows at the start of the year by identifying, creating and organizing a variety of resources. Manages and aligns Fellows' expectations with colleagues, Faculty, and other Harvard service providers. Drafts and delivers program updates.
Supports the course audit process at a ten professional schools by organizing information coherently and implementing processes that provide Fellows with the basis for sound decision-making and informed access to a wide range of courses. Maintains good working relationships with vendors, registrars, and others at relevant Schools across Harvard and navigates different audit systems by creating streamlined procedures for Fellows to ensure they can all successfully register.
Supports successful delivery of program and event components for the annual "Introduction to Harvard," Deep Dives, Final Symposium, and, as relevant, any off campus field experiences to plan venues, catering, and AV/IT support. Will staff all events from registration to closing, anticipate and respond to the Program and Operations Manager, Faculty, and Fellows needs, and ensure all aspects of assigned programs run smoothly.
Serves as primary contact for general office operations such as supplies and materials, equipment management, and program material inventories.
As part of a small, entrepreneurial team, the Program Assistant will perform other related job duties, as required. As the AL Initiative welcomes its eighth cohort in December 2015, a key responsibility of this job will be to provide administrative support under the direction of the Managing Director to scale the Fellowship in the areas of program delivery and office operations.
Please note: this role may require some weekend and evening work.
