AVP Finance Enterprise Services has an outstanding opportunity for a full-time Administrator. Reporting to the Associate Vice President for Finance Enterprise Services (AVP), the Administrator supports departments under the direction of the AVP including Procurement Services, DATAGroup, Tax Management, Office of Records Management, Office of Public Records and Open Public Meetings and other organizational units that may be assigned. The Administrator has a comprehensive range of responsibilities, including budget development and reporting; leadership of department and university-wide project teams; personnel and payroll oversight; facilities planning; and other administrative functions.
The Administrator will contribute to the Culture of Service, focused on delivering value for others inside and outside the organization and across the University through customer service, operational effectiveness and employee satisfaction.
Provide regular financial status reporting to the AVP.
Provide other regular financial reporting, as appropriate, to the directors and Executive Vice President Finance and Administration.
Review and approve all expenditures for departments.
Budget positions and operating funds in the UW's budget system (BGT).
Monitor budget balances and provide analysis of budgets and expenditures.
Reconcile budgets monthly using the UW's MyFinancial Desktop application (MyFD).
Track revenue and manage expenditures for self-sustaining budgets.
Human Resources and Payroll:
Ensure that the Department's employment practices are in compliance with the human resources policies and procedures of the University and the Department.
Lead recruitment efforts to meet staffing requirements and fill positions based on the appropriate classifications from the University's classified and professional staff systems.
Coordinate on-boarding and off-boarding.
Advise managers and directors regarding position classifications, organizational structure and salaries. Initiate all department hiring, promotions, salary actions, and terminations for staff personnel.
Ensure timely and accurate entry of Workday data.
Advise managers and staff regarding leave management.
Monitor leave usage for departments (e.g.sick leave, annual leave balances)
Maintain personnel files. Ensure appropriate confidentiality for all records.
Counsel employees and supervisors to resolve personnel Issues; initiate and follow through with corrective actions through University policies and procedures.
Work closely with the University's Human Resources offices as appropriate.
Supervision and Leadership
Supervise one or more Fiscal Specialist 2 positions including hiring, training and performance management.
Coordinate and lead teams for department and university-wide projects. Bring together appropriate team members; facilitate project work; prepare reports; plan and implement communication plans.
Space and facility administration:
The Administrator assists the AVP in developing a functional space plan for the Department and coordinating the support services necessary to ensure the operation of the department's facilities.
Assist Directors with space planning. Oversee space reconfigurations.
Develop and coordinate projects involving renovation or maintenance.
Oversee the implementation and maintenance of telecommunication and network systems.
Coordinate moves and / or relocations of offices.
Maintain and manage the Department's equipment inventory system ensuring compliance with University inventory policies and procedures. Manage disposal (surplus, sale or transfer) of unused equipment.
Ensure compliance with fire and safety codes.
Administer and delegate as necessary, miscellaneous Department projects and responsibilities, management of the Department's key distribution/retrieval system, etc
Monitor work environment for cleanliness and condition of furnishings.
Projects and Other Responsibilities:
Serve as Records Management Coordinator, ensuring compliance with retention requirements.

Bachelor's Degree in Business Administration or related field; PLUS at least five years of relevant experience. Other required qualifications are listed below:
Management-level administrative experience, preferably in an academic institution.
Demonstrated competence in financial operations, business planning, financial analysis, and/or strategic planning.
Supervisory and office management experience. Demonstrated experience working with large, highly structured personnel systems.
Proven leadership, communication, team building and problem solving skills.
Demonstrated ability to effectively address complex and sensitive administrative issues.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
Experience with UW financial and Human Resource/Payroll systems.
