We are dedicated to serving the Vanderbilt University Medical Center patients, departments and enterprise.
Our department receives, sorts and delivers campus mail for all Medical Center departments, and maintains the master list of Medical campus mail addresses. We are also a licensed contract station of the United States Postal Service, and we interface with the USPS each day to dispatch, receive, sort and deliver U.S. mail for the core Medical Center buildings. In addition, we operate a retail service window which provides stamp sales and most other services available at any US Post Office. We strive to provide excellent customer service that meets or exceeds the Medical Centerâs requirements and our contract obligations to the USPS.
Our operation includes eight Mail Clerks, one Mail Clerk Lead, a Department Assistant, and a Manager shared with other areas. We do not operate any vehicles, but deliver mail solely within the main VUMC complex.
Daily resolution of PO/invoice Receive, sort, and deliver campus and U.S. mail consisting of letters, magazines, and parcels up to 40 lbs.;
Maintain good familiarity with addressing and sorting systems and stay up-to-date on new address information;
Learn delivery routes and complete route deliveries in a timely manner each day if assigned;
Accurately read and interpret address information to ensure accurate delivery;
Operate pneumatic tube system to receive and dispatch letters and other small items;
Operate package tracking system to generate complete chain-of-custody record for packages and accountable mail items;
Access approved patient demographic information via computer to forward mail for discharged patients and hold such information confidential;
Sell stamps and other services at the retail window, maintaining clear records of inventory and financial transactions for audit purposes;
Operate credit card equipment and system in accordance with institutional policies and good security practices;
Be able to answer basic customer questions on all mail services in person or by phone, and know how to refer for more complex inquiries;
Interface with other VUMC departments as needed to facilitate good customer relations and timely mail service;
Interface with USPS personnel as needed to resolve problems and assist in efficient relations between VUMC and the USPS;
May interface with any any other outside companies or agencies having contracts or relations with VUMC regarding deliveries;
Complete ongoing training as needed, either online or in person, to maintain jobs skills and conform to VUMC policies and compliance requirements;
Other projects as assigned.
High school graduate or GED and 1 year of experience or the equivalent.
