The Program Specialist 2 serves in the role of assisting students, faculty, and staff with problem solving and resolution of complex issues that involve admissions and registrations. This position also supervises and trains part-time hourly and student employees in the functions of registrations and customer service.
This position is specifically responsible for the coordination and implementation of processes related to web admissions and auditing of paper applications; providing entry services and registration support for grant programs; providing registration support for various groups and populations, maintaining and tracking staff schedules for the department. This position is responsible for monitoring the admissions budget and process cost transfer at the end of each quarter. Critical to this position is the ability to provide excellent customer service to students, faculty, and staff with entry and registration processes.
This is a classified staff position reporting to the Associate Director of Enrollment Services.
Process web-admission applications and audit paper applications for Running Start and EdCAP students.
Maintain and update procedures on web and paper admissions processes. Exercise independent judgment and inform students of admission procedures and policies, recommends appropriate course of action.
Maintain enrollment services documents filing system including; the coordination of scanning, indexing and releasing into the Document Management system (DOC MAN).
Coordinate purging of all forms and documents in accordance with records retention schedules.
Audit admissions applications for various special populations.
Supervise and train all part-time hourly and work-study employees including: processing and monitoring hours and bi-weekly timesheets
Process various reports and reconcile errors.
Troubleshoot all admissions and registration related issues and problems. Act as point person for registration issues, including: processing withdrawals and communicate with students, faculty, staff regarding actions taken.
Track and log veteran students admission’s applications and collaborate with the Veterans Resource Center to approve and process active duty military discount.
Coordinate quarterly registration processes for various special populations.
Assist with answering financial aid eligibility questions.
Provide support to and assist with all grant-related admissions and registration activity (i.e., CATCH, EAOG, EAP, Pre-Nursing, and Tulalip, etc).
Develop daily staff schedules to cover phones and front counter functions.
Resolve residency discrepancies as needed.
Process verifications of enrollment as needed.

Two years of experience working in higher education.
Experience with the Student Management System or PeopleSoft.
Demonstrated general knowledge of federal financial aid regulations, including student eligibility.
Ability to prioritize workflow and work well with minimum supervision.
Ability to identify and problem-solve challenges and issues.
Proficiency with technology tools including: Word, Excel, Access, databases, Google Docs, and Gmail.
Demonstrated student-centered customer service approach, outstanding interpersonal skills, organizational skills and attention to detail.
Ability to work collaboratively within a team.
Demonstrated work experience in and commitment to work effectively with populations from diverse backgrounds, life experiences and abilities.
