The Assistant to VicePresident primary role is to provide high level executive assistance anddirect day to day support to the Vice President who may require assistanceduring traditional and non-traditional working hours. The individual willutilize diplomacy, discretion, confidentiality, and exercise independentdecision-making and judgment. This position supports the Vice President in theexecution of leadership university operations, while working closely with othermembers of the administrative and program management teams to coordinateactivities. Frequently acts as liaison between the University and externalorganizations.

Responsible for coordination of Vice President daily andlong range schedule that includes all travel scheduling and meeting managementwith internal and external parties. Makes arrangements and coordinates alldetails for meetings. Performs administrative follow-up and record-keeping asrequired.
Exercises independent judgment and initiative in schedulingappointments and engagements. Prioritizes meetings and conferences to beattended by the Vice President, to include preparation and coordination ofmaterials and presentations. Assures Vice President is fully prepared andreceives for review all appointment materials before meetings and conferenceson matters to be considered. May be asked to attend meetings and prepare notes.
Prepares, revises, and coordinates correspondence, charts,forms, and reports on behalf of Vice President. Drafts detailed reports asrequired. Peer reviews correspondence drafted by Vice President. Proficient inMicrosoft Office Suite and Microsoft Outlook.
Reads and edits outgoing correspondence for procedural,typographical, and grammatical accuracy with general policy and factualcorrectness. Corrects and calls deviations or inadequacies to writer'sattention as deemed appropriate.
Supports office by using automated equipment, includingdesktop and network computers/printers, copy machines, voice messaging andelectronic mail systems, and telephone equipment.
Manages, evaluates, and improves the effectiveness of theVice President's administrative resources. Oversees the processing of alltravel expenses, invoices, and purchases for the Vice President. Provideslogistical support to the Vice President for office moves and furniture orequipment relocation. Ensures that office operations, equipment, materials, andspace are used efficiently and effectively.
Receives and reads incoming correspondence and information,both written and electronic. Screens items to be handled personally and, forthe remainder, prioritizes and brings it to the Vice President's attention withnecessary background materials.
Exercises independent judgment and initiative inestablishing and revising complex and sensitive filing systems. Enters,updates, and retrieves information stored in files and databases; customizesspecial reports.
Receives and screens telephone calls and visitors.Independently handles procedural and substantive matters and inquiries, whichdo not require technical knowledge, or refers callers to others as appropriate.
