The West Virginia University Extension Service is seeking applications for a Program Coordinator for the 4-H Youth Development program. This position will provide leadership to events management; maintain the unit's event master schedule; and consult with faculty, staff, and volunteers to develop and implement plans, logistics, staffing and resource allocation for approximately 100 educational events annually.
In order to be successful in this position, the ideal candidate will:
Provide conference support leadership for the development and implementation of plans to guide the delivery of educational events.
Collaborate with technology staff to prepare and publish calendar of events, event descriptions and event registration materials on the website.
In consultation with others, develop an event plan, timeline and task list for each event to monitor progress.
Coordinate effective communication of event-related information.
Provide on-site assistance (traveling independently throughout the state) to oversee event logistics.
Maintain organized event records and files used to measure event success, provide information on event history, aid future event budget development and future event expansion planning.
Manage and arrange delivery of all event supplies needed for off-site events located throughout the state.
Enter and maintain data into computer-based applications for events and create reports used for various functions of the event.
Create or import graphs, charts, spreadsheets and media, including travel directions and location maps, into event packets.
Create digital presentations using Microsoft PowerPoint and other programs.
Provide administrative and financial support as needed, including invoicing, receiving payments,issuing receipts, and preparing mailings and paperwork required for different aspects of events.
Maintain accuracy of documents for each event.
Review and order office supplies securing the best price and vendor.
Attend and participate in professional development, meetings and events as needed. Provide support with any operation or need of the unit to maintain the smooth functioning of the program.
Pay Grade: 15
Bachelor's degree in public relations, marketing, business, education or youth development; an equivalent combination of education and experience will be accepted
At least two (2) years experience in the following:
Planning and managing complex events
Working with diverse audiences
Effectively relating to youth and adults in a job-related role
Ability to plan/manage events in a yearly cycle with a multi-year perspective
Ability to operate various computer software, such as Word, Excel, Access and Publisher
Ability to work effectively with constituents in a professional manner
Valid driver's license
