This position supervises the cashiering function and for monitoring and administering departmental cash handling controls, policies, and procedures. This position also ensures excellent customer service to students and their families, other University employees, departments and outside organizations. This position assigns and audits work of cashiering and fiscal technician staff, establishes and maintains procedures for efficient workflow, detects employee errors and system issues, identifies employee training needs, and conducts training. This position acts as the Student Accounts/Cashiers office supervisor in absence of the Assistant Director of Student Accounts.
Cash handling support - Establishes work priorities and ensure deadlines are met.Schedules additional staff during peak periods. - Audits work of cashiering and fiscal staff and resolves errors. Determines need for training and conducts training. - Responsible for ensuring accurate and timely receipt of, and accountability for, funds received on the Ellensburg campus. - Primary contact for all CWU cashiering areas for cash receipt transactions, to set up their cash flow operations, and train personnel in cash handling and internal controls when new areas are established. - Responsible for the accurate daily reconciliation of the cashier drawers, vault and daily preparation of the bank deposit. - Collaborates with Financial Assurance staff to ensure cash handling and payment processing policies and procedures are followed.Takes corrective action with staff, as needed. - Promote and ensure staff are delivering excellent customer service to all constituents as described by CWU's Wildcat Way.
Institutional check payments -Accounts Payable checks, Payroll and Student Refund checks - Responsible for the daily processing (signing and printing) of all checks issued by CWU, including general accounts payable checks, student financial aid refund checks, and payroll checks and advices. - Establishes work priorities, monitors equipment functionality and ensures deadlines are met for signing, printing, and distributing institutional payments to vendors, employees, and students. - Plans the work flow of the Student Accounts personnel, in consultation with the Assistant Director of Student Accounts, for a timely distribution of student financial aid refund checks, payroll advices, express checks, and payroll checks.
Payment Processing Support - Responsible for the accurate posting of self-service student account payments, payroll deductions, Perkins Loans, Guaranteed Education Tuition (GET), Veterans' Administration (VA), Scholarship, and Collections payments, and departmental receipts. Reconciles postings, determines and resolves any discrepancies, and prepares accurate correcting journal entries when needed.

Other Duties - Acts as the Student Accounts/Cashiers supervisor, in the absence of the Assistant Director of Student Accounts - Manages and coordinates Cashier's participation in miscellaneous university activities, as needed. - Schedules and provides cashiering services, and coordinates police escort for all requested events. - Creates and maintains physical files for the International Programs Study Abroad student accounts for payments to outside agencies and refunds to the students. - Assists with the coordination of Student Accounts Office's participation in Discover Orientation and all other institutional and community activities. - Prepares presentations and materials including but not limited to: brochures, emails to be distributed to students, parents, faculty, and administrators regarding Student Financial Services cash handling policies and procedures. - Other duties as assigned.
2 years experience handling large volumes of payment transactions, such as a bank teller or retail sales clerk
Demonstrated experience delivering excellent customer service

OR equivalent combination of education and/or experience which demonstrates the ability to perform the essential functions of the position.
Training or experience with MS Excel or MS Word
Experience with PeopleSoft, Banner or other Enterprise Resource Management Software (ERMS)
Knowledge of cashiering, Payment Card Industry (PCI) requirements, and bookkeeping procedures involving the receipt of funds and reconciliation of accounts
Experience with TouchNetpayment systems.

Working Conditions: Work is performed in an indoor office setting with frequent in-person interactions. It is essential to be able to remain at a desk/computer work station for prolonged periods of time, perform extensive data entry and other computer-related tasks and create/maintain filing systems for departmental records. Some evening or weekend work and/or occasional travel may be required.
