The Advancement Systems Manager is an individual who is familiar with fundraising databases (Veracross preferred); able to input, access, and present information in support of our fundraising endeavors; responsible for building, growing and supporting advancement systems. Candidate should expect to work occasional evenings and weekends for select events.
The Advancement Office
The Advancement Office is responsible for the school’s community building, fundraising and volunteer activities. Working closely with the Board of Trustees, Parents Association, Fathers’ Club, alumnae, past families and friends of the School, the office engages in hosting events to build relationships as well as fundraising activities to help meet the operating, capital, and endowment goals of the school.
Responsibilities of the Systems Manager
Oversee the daily operation of the Veracross database; track all gift/financial information for parents, alumnae, friends, and foundations who have donated to the School.
Maintain, manage and analyze constituent database and donation records; provide support in identification of prospects, tracking and reporting of fundraising as needed.
Implement all gift processing: process checks, credit cards, recurring gifts and stock gifts; record donations into donor files and maintain records in accordance with accounting requirements
Prepare letters of acknowledgement within specified time frame and in coordination with other Advancement staff to ensure proper messaging and stewardship of donors in accordance with audit/IRS protocols
Pull data for reports, provide analysis, and create lists of constituents, gifts, etc. as requested, segmented as needed; including production of Annual Report.
Participate in and support all areas of Advancement team work; providing event support as needed with data lists of addresses, participants, gifts, reports, production of letters, etc.; producing labels, lists, nametags, and systems for accounting for dollars and/or event participation
Other duties as assigned by the Chief Advancement Officer
Required Professional Skills
3-5 years of experience in database management procedures, including mail merges and spreadsheet applications, participating in setting strategy to reveal tangible outcomes.
Detail oriented, strong analytical skills, Excellent organizational skills with the ability to plan, prioritize and manage multiple tasks.
Ability to be highly confidential in handling sensitive personal and institutional information
Demonstrated ability to communicate effectively and relate well to students, parents, faculty, staff, and others while maintaining appropriate confidentiality
Self-starter who can complete projects independently and who can collaborate in a team environment
