The Assistant Director of Operations provides administrative leadership and management of student development and engagement through collaborating and supervising the Department of Student Union Operations including the Information Center, University Scheduling, Building and Event Support Services. This position maintains close working relationships with Student Success, University Departments, public agencies and the general public. This position works within the framework emphasizing out-of-class learning opportunities for students through extra and co-curricular programs and services with a continuing commitment to social development, education, leadership development, diversity and inclusion.
Maintains close working relationships with various departments within the University, other universities and public agencies, and the general public. Collaborates with departments across campus whom are responsible for curricular and co-curricular activities. This position serves as a public figure for Student Union Operations and may represent the Student Union in many public facets.
Programs & Services: - Provide support and supervision for Building Services, Information Center University Scheduling Services and Event Support Services. - Provide leadership and management support for all areas of supervision and back up supervision for custodial and engineering services. - Direct the priorities and needs of equipment purchases. - Recommend development of services and improvements for areas of supervision. - Approve Travel Authorizations for staff. - Develop, propose, and justify allocations received from the Services and Activities Fee Committee for the University Scheduling Services budget. - Maintain and increase the use of technology (scheduling software, social media, inventory and tracking, etc.) throughout the Student Union. - Build leadership opportunities by creating graduate assistant, intern, and practicum student positions. - Provide risk management oversight for scheduled academic spaces; assist Director with Student Union risk management as a whole. - In conjunction with the Director of the Student Union, review contracts within the supervised program areas. - Create and present budget information to the S&A Committee and develop, implement, and review the budgets for University Scheduling. - Maintain, examine and increase the efficiency of the accounting processes for all areas of responsibility. Provide information for internal and external audits and ensure compliance with university standards. - Interact, guide and direct student organizations on events and programs by providing advisement and mentoring. - Develop cohesive training programs for student employees in the student union that identify desired learning outcomes. - Serve as backup support to the University Scheduling 25Live Administrator. -Develop, coordinate, and facilitate internal recognition processes and programs for student employees within the Student Union. Evaluate impact based on learning objectives and outcomes. - Create development opportunities for professional and student staff. - Investigate and resolve conflicts between students, employees and clientele in collaboration with the Student Union management team and Human Resources. - Establish and maintain collaborations across the university in regards to University Recreation, Conference and Catering Services, Campus Activities and other departments on campus. - Coordinate with various groups that visit campus. - Collaborate with both on and off campus entities to advance the program, services, and image of the Student Union, Student Success and CWU.
Assessment and Policy: - Participate in the development and review of policies and procedures to ensure consistency throughout the Student Union and the university. - Develop policies and practices related to internal areas of responsibility. - Oversight of internal and external billings, records and reports that meet university compliance standards. Receives university audits and makes recommendations for improving operations and resolving issues. - Assists with the process to assess and analyze programs and functions in order to ensure consistency with stated goals and objectives associated with the mission and strategic plan. - Assist with department assessment related to program functions, stated goals and objectives of supervised areas. Participate in Assessment Teams.
Supervisor Duties: - Responsible for two full-time Scheduling Coordinators and one full-time Building & Events Supervisor as well as temporary, graduate assistants and student staff. - Actively engages in recruitment and hiring new employees. - Clearly defines performance expectations, ensure accountability, and provides ongoing informal feedback, coaching, and mentoring. Conducts formal performance evaluations. - Ensures employees have necessary resources. - Oversees and directs the work of staff; serves as mentor, coach and leader, and resolves complaints or issues. - Promotes professional development opportunities. - Develops and fosters supportive working relationships, motivation and engagement. - Communicates information to staff on an ongoing basis to influence staff engagement and to be a part of a larger community. - Takes corrective action in a timely manner. - Recognizes and rewards employees for good performance. - Schedules employee work hours/shifts; monitor hours worked; approve payable time and absence requests. - Adjusts leadership style as needed to achieve results. - Recognizes value of and promotes diverse workforce. Bachelor's Degree in business, recreation and tourism, event planning or related field /OR applicable combination of education and/or experience which demonstrates the ability to perform the essential functions of the position.
Experience in the higher education student activities, programs and events and facilities.
Supervisory and leadership experience.
Excellent customer service skills that demonstrated ability to work effectively with a variety of groups.
Knowledge and/or experience with the identification, assessment and/or prioritization of risks associated with putting on large and small scale public events or building safety and security.
Demonstrated interpersonal and conflict resolution skills and excellent oral and written communication skills.
Experience and/or training that demonstrates the ability to use Word, Excel, PowerPoint e-mail and/or similar software applications to produce written correspondence, create and maintain spreadsheets, receive and respond to e-mail inquiries, tasks, etc.
Master's Degree in Student Affairs, Higher Education Leadership, Communications or a related field.
Increasingly responsible work experience related to Student Life activities.
Budget management experience, including forecasting/preparation.
Experience developing short and long-range plans for financial and programmatic improvements.
Strong entrepreneurial skills and demonstrated ability to maximize revenue through appropriate design, development, staffing and marketing.
Experience using R25/25 Live Scheduling or similar software.
Experience working with a higher education Student Financial Services system.

Pay, Benefits, & Work Schedule
Salary: Dependent upon qualifications and experience
Working Conditions: Involves combination of office/computer work settings, as well as physical presence in and around the Student Union facility. It is essential to be able to meet physical demands of remaining at a desk/ computer work station for prolonged periods of time, using repetitive arm, hand and finger movements. Some stooping, kneeling, bending, crouching, lifting, walking, carrying or moving objects and other movements may be required. Evening and weekend work and/or occasional travel may be expected based on changing needs, requirements, deadlines and budgeting constraints. This position may be required to spend time outdoors.
