Suffolk University invites qualified candidates to apply for our Assistant Director of Conferences & Events opening. This position will provide leadership, management and oversight of the Summer Conference Program and Intern Housing Program; responsible for overall program implementation, delivering an annual program that meets revenue goals and advances the University's mission.

Oversees all aspects of the Summer Conference Program and Intern Housing Program.
Accepts and responds to all inquiries for summer housing in a timely manner.
Negotiates and creates contracts for groups and individuals intending to use university housing. Works with General Counsel's office and Budget Office to record private use according to University polices.
Handles all stages of invoicing & billing. Ensures all payments are tracked, meet contractual obligations and are processed accordingly.
Fosters a strong partnership with the Office of Residence Life, Dining Services and Facilities to ensure our guests experience a successful and positive stay on the Suffolk campus.
Manages the materials distributed to groups, such as access cards, linens, blankets, etc. Maintains inventory and par levels as appropriate. Makes recommendations for upgrading/replacing items as needed.
Develops and implements a marketing plan. Works with the Office of Marketing and Communications to create printed and electronic marketing materials aimed at acquiring new business. Maintains summer housing website.
Monitors summer conferencing budget and expenses. Prepares revenue forecasts for future years and presents to Director of Conferences & Events for consideration.
Solicits feedback from guests at the conclusion of their stay in order to consistently improve and refine the summer conference program.
During off-season, assists with the everyday tasks of Conferences & Events Office, such as: booking rooms for meetings and events on campus; assisting campus departments with arranging logistics for events on campus; working with campus partners (Media Services, Facilities, Dining Services) to ensure events are executed according to client specifications.
Other duties as assigned.
Bachelor's Degree Required
2+ years of prior experience in student affairs, residence life, events, or summer housing programs in a Higher Education setting highly preferred
Strong customer service orientation; ability to conduct self in a professional, courteous manner while advocating on behalf of our clients
Experience with contract negotiations a plus
Excellent written and oral communication skills; ability to foster partnerships across multiple departments to achieve singular goal
Good working knowledge of MS Office programs (Word, Excel) required
Experience with Star Rez and/or 25Live event software a plus but not required
Able to work independently; attention to detail a must
Ability to adhere to and enforce deadlines
Ability to maintain confidentiality
